Class Picnic Budget

Situation:
You have been asked to help plan a picnic for the 8th grade class. Your responsibility is to come
up with a menu and prepare a budget detailing all of the items needed for the food/drinks. You
will not have to actually purchase or cook the food. The picnic will take place during 2 nd and
3rd period some time in May. There are others who will plan games and entertainment. There
will be approximately 400 students and teachers participating in the event. Mr. Koehler has
given you a budget of $1500. You have to spend at least $1000, but don’t go over $1500! Good
luck! The food and drink items you need to decide on are:
 Your choice of hotdogs OR hamburgers
 Buns
 Chips
 Drinks (2 liters or cans?)
 Cups
 Ice (see under #2 below)
 Plates
 Napkins
 Eating utensils
 Condiments (mayo, mustard, ketchup, pickles, etc.)
 Desserts
Activities (complete in the order listed below) – Check off as you complete!
1.  On the back of this page create a list of items you think will need to be purchased. Write
down only the item names. Don’t worry about prices and quantities yet (that is the next
step).
2.  Then, get your price and quantity information from http://www.peapod.com. When you
get to the website, click on the left circle called Groceries for Your Homes. Use Zip code
60603 for Chicago. Shop away using the Browse Aisles, Express Shop, or Search links.
 To decide how many packages of an item to purchase, look at the servings per
package.
 You will be buying for 400 people.
 Ice is not listed at Peapod. Here is the price info for ice: 1 bag of ice = $1.20, is
enough to fill 10 cups. Also, it would take 3 bags of ice for 1 ice chest of can
drinks.
3.  Once you have completed your list on the back, you need to begin creating the
spreadsheet in Excel. Using the list you created on the back, create a budget for the 8th grade
class picnic.
4.  Save this to your network drive as Class Picnic Budget.
