Company ID • Each company will utilize a 7-digit numeric code which will be used each time they log in. Users will not be able to access internet banking without the Company ID. (Contact Customer Service at 800.SUN.9066 or Cash Management at 866.786.5990 if you do not have your Company ID by November 2.) User ID • User IDs (Username) will remain the same as their current ID, however, there is not any punctuation/special characters. They will need to be removed when using the new system. • For example: Current System: john.smith • New System: johnsmith 4 Login - Out of Band Authentication (OOBA) Out of Band Authentication (OOBA) is a security measure used to verify the identity of the individual logging into Business Online Banking. OOBA will be required the first time customers log into the new system and each time they log in from a different device, as well as when transacting ACH or Wire activity through our system. Below are screen shots of what customers will manage through at first login: 1. Click “Continue with Security Code.” 2. Select either Phone or Text Message; click “Continue.” 5 Login - Authentications Telephone Authentication • The phone call will ask for the one-time security code displayed on screen. Enter code and click “Phone Call Completed.” Text Message Authentication 1. Enter the mobile phone number to receive the text (must be a number on file and listed as Mobile/Mobile 2/Other phone type); click “Send Text Message.” 2. Enter the code received in the text message; click “Submit.” 6 Login - Password • • • A temporary password will be addressed in an email November 2. Enter the temporary password; click “Sign In.” Note: users will be prompted to create a new password at first log in. (If you did not receive the email or need assistance please call 800.SUN.9066 or if you have Cash Management services, call 866.786.5990. ) 7 Sun National Bank Business Online Banking 2016 Enhancement Client Reference Guide ADMINISTRATION Company Administration Guide - Overview Effective Date: November 14 • This guide is intended to provide instructions for managing the setup and administration of your business within Business Online Banking. Please refer to this Reference Guide for a quick introduction to the features within Sun National Bank’s new Business Online Banking platform. Administration of Business Online Banking • Business Online Banking requires at least one user be designated as the Primary User of the Company. The Primary User will receive full entitlements granted by the Bank, including the Administration role. The Bank strongly recommends designating secondary Company Users with the Administration role for dual control and backup purposes. The Primary User must log into Business Online Banking first to add additional Business Users, grant them access to necessary Accounts, and enable transaction features and limits required to perform their jobs. (If you need assistance please call 800.SUN.9066 or if you have Cash Management services, call 866.786.5990. ) 9 Administration Menu Administration Menu Company Administrators are responsible for the following functions: 1. Managing Account Information 2. Managing Approval Settings 3. Managing Users Only users with the Administration Role have access to these functions within Business Online Banking and they are responsible for verifying this information upon first login as well as maintaining the information going forward. 10 Company Administration Company Administration • Prior to setting up and managing Users, the Primary User should begin with Managing Account Information and Managing Approval Settings for each account and service that allows Users to move funds both internally (transfers) and externally (ACH & Wire Services). Assigning limits and approval settings at the account level provides a benchmark for assigning individual limits and approval entitlements when adding users. 11 Sun National Bank Business Online Banking 2016 Enhancement Client Reference Guide USER & ROLE SETUP Users with the Administration Role Users with the Administration Role manage Approvals Required for Setup: • If desired, companies can require secondary approvals for the setup of payment templates and company administration functions at the company level. The image to the right is an example of a setup only requiring a single approval for the setup of payment templates. If a company decides to mandate that a second approval is required for setting up or editing templates, a “2” is entered for the service. Note: Placing a number greater than 1 in the Administration approval box ensures any changes at the company level, including adding and editing user, requires a secondary Administrator to approve the change. This practice is a sound security practice and useful if creating a role specifically for company administration only. 13 Manage Users • • • Within Business Online Banking, a Primary User must be established by the Bank. The Primary User will receive full entitlements granted by the Bank, including the Administration role. Additional Administrators are strongly encouraged by the Bank, and can be added by the Primary User by entitling the Administration role. Users with the Administration role are responsible for managing all individual Users required by the Company, including adding/changing//deleting users; resetting passwords, establishing phone numbers; assigning functionality entitlements and transaction limits. The Bank will not manage users for the Company unless it is deemed an emergency and proper written notification is obtained. By default, the Primary User will receive full entitlements granted by the Bank, unless a second user with the Administration role customizes their entitlements within Business Online Banking Administration. The Bank encourages customizing these functions to the level of entitlements required by each client Administrator to perform their respective job. 14 New User Profile • • • • • • • • Company Administration -> Manage users -> Select new user User ID – You can assign a unique User ID. The ID you choose should be at least 4 characters long. Starter Password – Starter Passwords are not case sensitive, must be 8 to 12 characters and contain at least 1 letter and 1 number Name Fields – Insert the User’s first and last name Primary e-mail address – Add the user’s email Phone Number – Enter a phone number unique to the user being created. This number will be used for the One-Time Security Code upon first login Note: Extensions requiring a prompt prior to entering the number can be added within the Extension field. Example: If a phone system requires “Press # now to enter an extension” add the # symbol prior to the number in the extension field. It may also be necessary to add a pause (,=2sec, .=5sec) between the # symbol and the number. Note: If user will receive text message alerts and/or one time security code texts, the phone number entered must be Mobile, Mobile2 or Other. Click Continue 15 New User Roles Once the user is created, the Administrator can either assign the user unique roles or model another user's roles (recommended). • Note: If the user is to be provided with “view only” access, do not select any of the below roles. • Allow this user to setup templates – provides a user with the ability to setup transaction templates and schedule transfers, payments, and collections. Templates created by the user need an additional approval if not assigned an approval role. • Allow this user to approve transactions - provides a user with the ability to both draft and transmit capabilities. • Grant this user administration privileges - provides a user with the ability to add, modify, and delete users, as well as account maintenance. 16 Allow Roles & Services By default, all Accounts approved by the Bank to be added for a client are enabled for all Transfers and Payments functions (e.g. internal transfers, PPD collections, etc.). Users with the Company Administration role are responsible to provide appropriate account access and entitlements to each user. • Click the “Add” link next to each service to establish features and entitlements per user • Select the account(s) that you are providing access to for the service and click “save changes” Entitled Account function – User can view the service and create entries, if applicable; but submitting transactions will require authorization by another user with Authorize rights in order for the transaction to be processed by the system if the user does not have the Approval role. Allow Transmit function – User can draft and submit transactions without authorization by another user. The transmit function also allows the user to approve and submit transactions drafted by other users. • Once all services and accounts are entitled, click “Continue” at the bottom of the page. 17 Allow Roles & Services • Note: If providing a user with access to view accounts, enable Deposit Account reporting 1 and entitle the accounts to be viewed under Information Reporting. If both of these Services are not enabled the user will NOT be able to view accounts. See below example: 18 Allow Roles & Services • Note: Account reporting titles vary depending on the Business Online Banking package a business is enrolled in. This service can also be listed as “accounts” or “deposit reports”. 19 Assigning User Limits After the Administrator assigns a user the services and applicable accounts associated with each service, the following screen allows limits to be established for each service the user was entitled. • Insert a “Maximum Transaction Limit” if desired for each service or select the established “Company Transaction Limit” and save. If desired, the Bank can add your pre-approved limit for the ACH Service within Business Online Banking. The Bill Pay Transaction limit for your Company is $9,999.99 Note: If the user exceeds their established limit, a second approval is required by a user with approval limits above the transaction amount but within the Company Daily Limit or Bill pay Transaction limit. 20 Assigning User Limits Note: If the user exceeds their established limit, a second approval is required by a user with approval limits above the transaction amount but within the Company Daily Limit or Bill pay Transaction limit. • Verify the User’s information and entitlements are correct and “Submit.” Note: A second Administrator needs to approve the new user setup if required by your organization to have more than one approval for this task. Edit User Information • Users with the Administration role are responsible for managing a user’s profile once created. The Administrator will have the ability to edit the roles, functions, and limits of a user as needed. An Administrator also has the ability to reset a locked User’s profile due to failed password attempts. To edit a user’s profile, choose Manage User under the Administration Menu and click the User ID requiring changes. Note: Reference Express Management Report on page 7 for an efficient way to assign roles and services for newly added accounts to a user’s profile. 21 Manage Users Use this feature to view, edit, delete or add users and user entitlements. (For more detailed information bankers may refer customers to the “Company Administration Guide” located on the website.) • On the Administration menu, select “Manage Users” under the Company Administration heading. 22 Manage Users Manage Existing Users 1. Click on the User ID of the user to edit. 23 Manage Users 2. 24 Click the “Edit” link next to the area you wish to edit or click “Delete user” to remove the user entirely. Manage Users – Create New User Under User Administration, click Create New User 25 Manage Users – Create New User New User - Profile 1. Complete Profile information. 2. Click “Continue.” 26 Manage Users – New User Roles 1. Select “Copy user” to model new user after an existing one. Roles, services and accounts may all be edited later, but copying an existing user saves time in the setup process. 2. Select the User Role(s). 3. Click “Continue.” 27 Manage Users – New User Services & Accounts 1. Add, Change or Remove services for the user. 2. Click “Continue.” 28 Manage Users – New User Limits 1. Set limits if needed. 2. Click “Submit.” 30 Unlock User Profile From the Manage User screen, locate and click on the System Access link to the right of the user name. • Remove the checkmark from the box located next to User locked when a profile is locked. • Enter and confirm a new password for the user if they have forgotten their current password. • Click Save Changes • Note: An Administrator has the ability to temporarily lock a user’s profile from this same screen by placing a checkmark in the User locked box. 31 Sun National Bank Business Online Banking 2016 Enhancement Client Reference Guide DASHBOARD SETUP Dashboard Setup Tool • • The Welcome page or “Dashboard” is customizable. It is designed to provide customers with quick and easy access to the information and functions they use most frequently. The “Dashboard Setup Tool” will be displayed for users the first time they log into internet banking. They can select (or remove) the panels they’d like displayed on their dashboard. These may be changed at any time. 33 Dashboard Setup Tool • The “Dashboard Setup Tool” will be displayed for users the first time they log into internet banking. They can select (or remove) the panels they’d like displayed on their dashboard. These may be changed at any time. 34 Dashboard - Manage Dashboard Panels • • Move Panels - Panels on the Dashboard may be moved by clicking on the heading and dragging to the desired position. Delete Panels - Click the down arrow in the top right corner of the panel; click “Delete this panel.” 35 Dashboard - Manage Dashboard Panels • Add Info Panels – 1) Click “Add Info Panels”; 2) All available panels are displayed; click “Add now” to add any panel to the Dashboard. 36 Dashboard - Manage Dashboard Panels • Delete Panels - Click the down arrow in the top right corner of the panel; click “Delete this panel.” 37 Sun National Bank Business Online Banking 2016 Enhancement Client Reference Guide TRANSFERS AND PAYMENTS Transfers and Payment Menu Transfers and Payments Menu • Transfers and Payments include Bill Payment, Transfers, all functions related to ACH and Wire Transfer origination. The availability of the features shown below will be based upon request by the client and approval by the Bank. 39 Account Transfers - Internal Transfer – one account to another On the Transfers and Payments menu, select “Transfer money – internal” under the Internal Transfer heading. 40 Account Transfers - Internal Transfer – one account to another On the Transfers and Payment menu, select “Transfer money – internal” under the Internal Transfer heading. 1. Enter transfer details; click “Continue.” 2. Verify transfer; “Edit request” and re-submit or “Transmit” 41 Sun National Bank Business Online Banking 2016 Enhancement Client Reference Guide APPROVAL SETTINGS Manage Approval Settings Manage approval settings Setting Approval Limits is a sound business practice and recommended by the Bank to process transactions accurately and protect against fraud. The approval settings screen provides for two levels of approvals: 1) Approvals required for transactions, and 2) Approvals required for setup Users with the Administration Role manage Approval Limits for transactions by: • If desired, a “Request Amount” can be established to define when a secondary approval is needed. If an amount is defined, then input the subsequent number of approvals needed if the amount is less than or greater than the Request Amount. • If all transactions should be approved by a secondary user, then leave the amount at $0 and define how many approvals are needed in the “Approvals If Greater” column. • Select the “Require Separate Entry From Approval” box if one of the Approvals should not come from the User who submitted the transaction. • If a Service is set to require multiple authorizations, please ensure at least two users have the “Approval” role in order to approve and transmit the transaction(s) to the Bank. An Alert will be sent to client users notifying them that a transaction is awaiting authorization. For example, in the screen shot to the right, CCD Collection requires two approvals. 43 Manage Approval Settings To further explain this: • If a user only has the role to Setup templates and they submit a CCD Collection, an Alert will be sent to all users with the Approval role and two additional users with the Approval role must authorize the transaction. • If a user has the role to Setup templates and the Approval Role, an Alert will be sent to all remaining users with the Approval role and one additional user with the Approval role must authorize the transaction. Additionally, if the “Require Separate Entry From Approval” is checked, the transaction will require two separate users with the Approval role to authorize the transaction. • Any user with the Approval role can act as the first or second authorizer. However, the transaction amount must be within the user’s Authorize limits, as defined within their Maximum Transaction Limits. • Please Note: If transactions are not approved prior to the bank’s 4pm business day cutoff, the transaction will not be processed. The request will still be in the “Approve ACH Transactions” task, however, the effective date will need to be updated to the next available business date prior to Approval. 44 Sun National Bank Business Online Banking 2016 Enhancement Client Reference Guide ACCOUNT ACTIVITY Manage Account Information Manage account information • Only users with the Administrator role have the ability to add descriptions to accounts. Once a description is assigned, this description will propagate to all users. Note: A second Administrator can assign a different title, which will override the original title. • Select Manage Account Information under the Administration menu. A list of accounts will populate. • Click on the account number and enter a description in the box to the right. • Save Changes 46 Express Account Management When the Bank adds new accounts to a profile, it can be cumbersome for an Administrator to edit each individual user profile for access and entitlements to the account. The Express Account Management tool allows an Administrator to select a user and the account from the drop down menus on the screen. • Select the user from the first menu • Choose the new account from the second menu • Checkmark the service and entitlement level for each service • Save Changes (and Choose the next User if applicable) Note: After saving the changes for the first user, each subsequent user will have the same services and entitlements check marked from the first user. 47 Access Account Activity - Important Account Balances • The “Important Account Balances” panel on the Dashboard is the quickest way to access account information. 48 Access Account Activity Previous and Current Day Transactions 1. Click the account number to view within the “Important Account Balances” panel. 2. Previous day and current day transactions are displayed. 49 Access Account Activity To display transactions older than one day, an activity report must be run. • 1. Click the “Activity – deposit account” link from the menu on the left. 50 Access Account Activity To display transactions older than one day, an activity report must be run. • 2. Select the Output. Select how the alert should be received; click “Add alert.” 3. Repeat for Non-account Alerts. 54 Manage Alerts 1. Add or change existing alerts, by clicking on the link next to the Alert. 55 Manage Alerts 2. Select how the alert should be received; click “Add alert.” 3. Repeat for Non-account alerts. 56 User Setup Report / Invalid Login Report User Setup Report • Company Administrators have the ability to review each user’s setup through the User Setup Report located under the Administration menu. User reports can be generated for one user or all users accessing Business Online Banking. The reports show a user’s contact information, assigned services, entitlements, and limits for each account number. These reports can be especially helpful when an Administrator is looking to create a user and wants to find the appropriate user to “Copy”. Administrators should also reference these reports to audit the access of current employees and ensure that employees no longer with the company are removed. Invalid Login Report • The Invalid Login Report is a feature within Business Online Banking that works as a fraud protection tool for a company. Administrators are able to see when users log into the system, from what location the user is connecting from, and if the user gained access. The Administrator should reference this report prior to unlocking a user’s profile due to login failures. From the report, the Administrator can verify the failed access was completed by the user.
