Job Description
The successful candidate will:

Assist Management in executing all administrative functions for the office including coordinating
office, moving office, renovations, filing systems, etc.

Maintain a strong working relationship with the building landlord and suppliers; liaise with the
landlord as required on all building issues

Maintain a strong working relationship with the vendors and contractors; liaise with the vendors as
required on all office issues

Manage monthly office budget and assist Management in coordinating with the accountant in
Belgium/Thailand.

Hire and direct contracted service providers associated with facility maintenance and office
operations aligned with a company policy

Develop policies and procedures for the use of supplies and internal divisions to work more
smoothly

Manage preventative maintenance programs, coordinate contracts for essential services such as
office cleaning, carpet cleaning, air conditioning etc

Coordinate with all contractors and our internal divisions to make sure all processes are working
smooth between parties such as payment and purchasing processes

Work with Indirect Procurement to secure competitive quotes

Ensure that the offices (meeting rooms, front-desk, workstations etc) are kept neat and organized
for the members in the office all time

Maintain and keep all company legal documents in confidence

Coordinate contracts for the maintenance of key office equipment such as photocopier machines,
fax and telephones.

Ensure all office equipment in general areas, meeting rooms and training rooms are systematically
organized and effectively maintained and working at all times. Oversee supplier’s guarantee and
assistance.

Maintain a strong and open communication with Business unit leaders to ensure we understand and
are able to meet current and future office requirements

Manage the lease that the company has, and to negotiate terms where necessary. Oversea office
planning and space optimization

Support the different businesses in the issuing process of commercial or technical documents.

Organize the monthly expenses claim process.
Qualifications and Skillset
Education:

Bachelor degree (or higher) in Administration or business related degrees
Essential:

Prior experience in a similar role in a services company

Highly organized, meticulous, motivated, decisive and a people-oriented team player

Flexible and mature approach with the ability to manage own workload with strong emphasis on
accuracy, prioritization and delivery with little or no supervision.

Need to be accustomed to multi-tasking, may be engaged over several matters at any one time.

Thai speaker with excellent written skills

Fluency in English- spoken and written
Personal qualifications:

Excellent English communication and interpersonal skills

