MSF SOUTH ASIA REGIONAL ASSOCIATION BOARD ELECTION PROCESS March 19, 2016 MSF SARA’s General Assembly (GA) will be held on Saturday, March 19, 2016, in which two Indian and one regional Board member will be elected by members. The election of MSF South Asia Regional Association Board will take place on Saturday, March 19, 2016 (1200 hrs to 1500 hrs Indian Standard Time) during the General Assembly 2016 in New Delhi. MSF SARA members will elect in total 3 board members - one regional board member and two Indian board members. Later on the board will elect a President, Vice President, Secretary, and Treasurer. ELECTION PROCESS: 1. The profiles of 6 candidates with their motivations are circulated and will also be available in the welcome folder at the GA 2015. 2. Only members of MSF SARA can vote. 3. Rule is ‘One member, one ballot’. 4. The ballot box will be kept in the GA conference room at the reception desk to drop in your ballot papers. Please tick- mark the box before the name of the candidates you want to elect. Once you make your choices, please fold the ballot paper into 8 folds and drop in the ballot box. 5. The ballot paper contains 2 South Asian/regional candidates and 4 Indian candidates (both medical/non-medical and international/national). 6. This year, you may elect 1 candidate from the region and 2 from India. 7. The ballot voting begins on Saturday, March 19, 2016 at 1200 hrs and will finish at 1500 hrs. 8. The Voting Committee will declare the results by 1730 hrs on Mar.19, 2016 PROXY VOTING: We strongly urge members who have e-mail ids to vote through electronic voting rather than proxy voting. We encourage those members who do not have personal email ids/internet to utilize the proxy voting facility. You can authorize another staff/member as your proxy to attend, act and vote on your behalf at the GA of the MSF South Asia Regional Association (SARA), to be held on March 19, 2016. For this, you will have to fill the proxy form in your own handwriting and send your signed authorization in the proxy form, along with a copy of personal identity proof to the Voting Committee before 0900 hrs on March 19, 2016. The signature on the proxy form should match the signature on personal identity proof document. Without the personal identity proof document the proxy will be invalid. Candidates contesting in MSF SARA Board elections 2016 cannot act as a proxy for reasons of conflict of interest. ELECTRONIC VOTING: We have organized for Electronic voting with an external service provider to facilitate those members who are not present at the GA to be able to vote for the Board. There will be a separate email sent to members with information on the process. The electronic voting will begin on March 11, 2016 at 0900 hrs Indian Standard Time and end on March 16, 2016 at 1300 hrs Indian Standard Time. NOTE: If you opt for electronic voting you will not be eligible for the physical ballot paper voting at the GA, based on the rule ‘one person one vote’. ABSTENTION: If you wish to abstain from voting please do send an email to the association [email protected], with an attachment of your personal identity proof.
