Nominet Trust – Project Co-ordinator Salary £28,000-£34,000 FTE depending on experience Job Purpose To support the Project Management team in the selection, management and monitoring of funded projects to maximise their social value. Post responsible to: Head of Project Management Key responsibilities Project application process First line response to external queries relating to Nominet Trust’s investment programmes, the application process, or project management processes, resolving most of these independently. Arrange meetings (physical and virtual) for the Nominet Trust team with prospective and existing partners and applicants. Process all incoming funding applications via the online platform; quality check for errors and omissions, rectifying these with the applicant prior to internal review; track timely return of responses from internal reviewers to meet applicant expectation. Organise project selection meetings, including preparing, collating and dispatch of applications and related documentation to relevant team members. Support the due diligence process, including co-ordination of reference checks. Notify funding applicants of selection decisions. Manage electronic and paper filing systems to ensure the project management function runs effectively and maintains an organisational archive. Manage other tasks which may emerge within the team, as requested. Project co-ordination of investments Manage specified steps in the project initiation process e.g. coordination of licensing agreements, completion of Project Initiation (PID) documents. Act as key contact for an agreed portfolio of projects throughout their lifecycle. Co-ordinate the monitoring process for funded projects, ensuring Project Monitoring Forms, Project Evaluation Forms etc are completed on schedule. Request updated project plans and budgets from funded projects, as necessary. Maintain website and other systems data relating to funded projects. Support project managers in identifying, recording, resolving and escalating project issues. Provide project-specific support and assistance throughout the project lifecycle. Event management Deliver events integral to the project management process, including logistics and external communications e.g. Recently Funded Partners’ Meeting. Support the preparation and staging of other Nominet Trust events. Process improvement Identify patterns to external enquiries and seek solutions to eliminate them. Identify and implement process improvements to increase efficiency, improve application quality, enhance applicant experience etc. Internal & External Relationships Internal Nominet Trust Board: responding to information requests; attendance at Team meetings. Director: responding to project-specific information requests; attendance at Team meetings. Head of Project Management: functional line manager; all aspects of the applications process and project co-ordination. Project management team: support for all aspects of the functional role. Other members of the Nominet Trust Team: liaison with colleagues on projects and process improvements, communications (including website content) and development research. Nominet staff: liaison with various departments (e.g. Facilities, Finance and Legal), as required. External Trust applicant organisations: day-to-day contact, responding to queries and issues, meeting logistics. Trust recipient organisations: regular contact with portfolio projects, day-to-day contact with other projects e.g. requesting monitoring or evaluation forms, or meeting logistics; attending networking events, responding to queries and issues. Other organisations: receiving and responding to queries and information requests from strategic partners, stakeholders and third party organisations – and initiating requests with the same. Qualifications, Skills and Experience Education to degree-level, or equivalent, desirable. A minimum of 3 years’ experience in a project support role where meeting tight deadlines and anticipating logistical issues are routine requirements. Strong organisational and planning skills with a particular emphasis on accuracy and attention to detail; ability to prioritise tasks in order to respond effectively to deadlines. Flexibility and adaptability of approach within an agile organisational environment. Excellent interpersonal skills for relationship building with different stakeholder groups; in particular, a high level of tact, patience and diplomacy for dealing with a variety of internal & external contacts. Experienced at working independently with minimal supervision, managing individual workload and responding to changing demands (while keeping sight of the overall picture); delivering work on time and to a high quality standard. Able to maintain confidentiality both within and outside of the organisation. Adept at operating effectively and calmly under pressure, maintaining good humour throughout. A creative and tenacious approach to problem solving. Able to show initiative and be self-motivated, demonstrating energy, resilience and commitment. A team-focused approach with a helpful, friendly and informal style representative of Nominet Trust’s culture; able to play a full part in a small and closely knit team which is dedicated to the provision of an effective service. Although office based, able to work out of hours on occasion and willing to travel for events. Computer literacy and good keyboard skills (Microsoft applications), combined with an aptitude for learning new packages, including internal systems, and guiding others in their most effective use. An appreciation of design and layout would be useful. An interest in the use of digital technology as a medium for positive social change and in the objectives and development of Nominet Trust.
