UW-Platteville Residence Hall Posting/Advertising Procedure

UW-Platteville Residence Hall Posting/Advertising Procedure
The UW-Platteville Department of Residence Life Posting Procedure prescribes locations and formats
within the residence halls for the promotion and advertising of activities, programs and services of interest
to UW-Platteville students, faculty and staff. It was developed with regard for effective and available space
utilization, demonstration of support for campus-related programs and services, and an understanding that
the halls are living environments.
This procedure explains who, how, what, when and where items may be posted and/or advertised. It
provides consistency from hall to hall, is more readily explained, lessens fire code concerns, and addresses
overuse of fliers.
General Guidelines
 All postings from student organizations, businesses, individuals, and non-UW-Platteville
recognized groups may submit only two posting for each hall’s lobby (26). All Postings (signs,
fliers, posters, etc.) must be delivered and authorized by the Residence Life Office in Royce
Hall. Unauthorized postings will be removed.
 Only Residence Life personnel may physically place postings in the residence halls.
 The duration of any posting is not to exceed two weeks unless it advertises a series of events
(i.e. monthly calendar, sports seasons, performing arts series, etc.).
 Fliers / posters must be in compliance with the university alcohol policy and all other
university policies. On-campus advertising for social events may not include specific reference
to alcohol as part of the event. References to alcohol are prohibited (either printed word or
graphic image).
 All postings must clearly identify the sponsoring department, group, individual(s),
organization, hall or business on all materials.
 Each residence hall is allowed greater flexibility regarding size and location of postings for hall
or departmentally sponsored events.
 Residence hall communities have both the right and the responsibility to regulate the “public”
side of room windows and room doors, including any offensive material displayed. This
argument stems from the belief that these parts of the window and door are a community area
shared by everyone who uses the sidewalk or lives within the residence hall buildings and not
solely by the resident(s) of the room. You will be asked to remove materials found to fit the
following criteria:
 That which threatens or targets a particular individual or group with racist, sexist, or
homophobic message.
 That which presents any individual or group in a demeaning manner or is harassing in
nature.
 That which encourages violence within the residence hall community.
 Individuals, groups, or businesses who violate the Posting Procedures may face further hall
restrictions and/or disciplinary action.
Posting in residence hall lobbies:
 Two postings may be submitted for each main lobby. Depending on available space, one or
two postings will be used.
 Residence Life encourages postings to be 8.5 x 11 inches, but will allow postings up to 11 x 17
inches.
 If / When the available space is fully occupied by authorized postings, new postings will be
added as space becomes available based on date received.
“What’s Happening” Calendar:
 University departments, recognized campus groups / organizations and other halls
may only advertise on residence hall wings by utilizing the “What’s Happening”
calendar.
 The calendar is 11 x 17 inches, shows three weeks of information, is bordered by
advertising boxes, and is printed every two weeks.
 This calendar places information related to activities and events in centralized and
consistent hall locations (in the main lobby and on the wings).
 A request form must be completed to advertise in the calendar. Request forms are
available at the Residence Life Office and at the Residence Life Website under
Posting Policy. You can submit the request to the Residence Life Office or by
emailing [email protected].
 Residence Life will only publish submissions that are consistent with the university
role and mission.
 Residence Life reserves the right to prioritize submissions based on content and date
received.
 This calendar is not available for individuals, business or personal sales, or non-UWPlatteville affiliated groups.
Exceptions to the posting procedures will be considered on a case-by-case basis and must be approved by
the Department of Residence Life prior to printing. Contact the Residence Life office at 608-342-1845,
1 West Royce Hall; or Email [email protected].
