 Users’ Guide: Mail Merge for “Resume Direct” Employers using the NALP Directory of Legal Employers (nalpdirectory.com) Who? The mail merge service is available to any Chapman Law student. Students in the top 20% of their class are encouraged to apply to NALP firms if they are interested in working for larger law firms, as most NALP firms require this ranking and often even higher. The Directory contains government agencies and public interest employers as well. What? The mail merge service allows you to access information about hundreds of legal employers nationwide and to use this information to custom‐tailor your application to the individual firms and its recruiting coordinator for “Resume Direct” employers. When? You can begin browsing the employers and preparing your mail merges once you are registered as a NALP law student. Please refer to “Step 1” below for specific information. If there is no published application deadline, it is strongly advised that you begin submitting your applications in June/ July.* As per the OCI Handbook, “with every week that passes from the end of July to the remainder of the OCI season, your application becomes less competitive because firms are making offers throughout the season as soon as they begin interviewing.” *Please check each firm’s website to confirm the application deadline. Why? The mail merge should save you time in addressing your application materials—cover letters and envelopes—and will provide accuracy. This service also allows you to easily blanket certain geographic areas. How? Browsing employers and downloading a spreadsheet for your mail merge is fast and easy. Please see step‐by‐step instructions below: Step 1 >> Register with the CSO as a NALP law student by completing this form: http://www.surveymonkey.com/s.aspx?sm=LN2eIjdCAB_2b1_2f3mMU9H_2blg_3d_3d Step 2 >> Once you are registered, you will receive an email from the CSO inviting you to visit the NALP Directory of Legal Employers online at: www.nalpdirectory.com. Step 3 >> When you visit the site, click on the “Quick Search” link on the right. You can use the Alphabetical Index to search any NALP firm; alternatively, you can filter employers by employer type, city, state, or territory. You can also enter a particular firm in the “Employer Name” field, e.g., “Crowell & Moring LLP.” If you want to work in the Pacific Northwest, for example, it may be particularly wise to apply to as many firms as possible in the Seattle region and throughout Oregon. The online directory allows you to gather the contact information for these employers. Step 4 >> Step 4B >> Step 5 >> Step 6 >> Step 7>> Begin building your mail merge list: To select the employer you would like included on your spreadsheet, click on the check box to the left of that employer. Note: If you are planning to apply to a different office of an employer who is participating in OCI or Resume Collection, please see a counselor in the CSO. Please click on the save button in the lower, left‐hand corner to add the employers to your list.
When you are ready to export the list, you will need to confirm your selections by checking each box to the left of the employer name. Then, click the mail merge icon (envelope) in the lower, left‐
hand corner of the page. You will be immediately prompted to enter your email address in the field after each time you click the save or mail merge button. You must enter the exact email you submitted in the SurveyMonkey (contained above in the “Step 1” field) when you registered. When you have done so, click on the “Continue” button. You will automatically see the download page. Download now. Note: For every new selection (e.g., adding a firm to your list) you will be asked to re‐enter your email. The system will prompt you. Step 8>> Step 9>> Step 10>> Click “Save”; download to a convenient location. The download should have a notepad icon, as it is a text file. After you have downloaded the text file to your Desktop or elsewhere, open MS Excel. Click on File  Open. Under the “Files of Type” drop‐down menu, select “Text Files.” Be sure to select the Desktop or whichever folder you saved the file in. Double click on the file in the Open window. Once you select the text file, you will be brought to the Import Wizard. Select “Delimited,” which should already be the default setting. Click Next. Step 11>> Step 12>> Check List: When this window appears, under Delimiters, un‐check “Tab” (the default setting) and check “Comma.” Click Next. To confirm, click Finish on the subsequent window. Reminder: Make sure your spreadsheet is free of words in all caps. Many firms are submitted in all caps, so please correct this after you download the spreadsheet. Your spreadsheet should appear with all the appropriate columns. However, you are responsible for ensuring the information is correct. Please check caps, titles, etc. Please Note: NALP does not provide emails as a field in the mail merge. If you want to include the emails of the Recruiting Coordinators, you will have to insert them yourself individually. The spreadsheet is now ready to use to mail merge your cover letters and envelopes. (You do not want for the firm to receive duplicate resume submissions, and your resume will receive more attention through a firm participating in OCI/Resume Collection.) Remember to apply broadly (be geographically flexible)? If you apply to a firm that is outside the local area, make sure you clearly state your tie or desire to be in that location. Carefully follow “Steps 4‐12” and manipulate the Excel fields as necessary? Arrange your address block so that it mimics the example in “Step 12”? Verify that your salutation reads: “Dear Mr./Ms. <Last Name>”? Tailor your cover letters to show your research of the employer and particular desire to work there? Print your cover letters/resumes on quality bond paper (and use matching envelopes) if the firm does not request email submissions? Sign your cover letters and carefully proofread your materials?
