We ask that you read this information carefully as it contains details that will ensure the event runs smoothly and you have a great ride. If you have entered on behalf of, or for other riders beside from yourself, please ensure that they receive a copy of this Information sheet prior to the event. REGISTRATION BRING YOUR HELMET Please bring your helmet to registration. NO HELMET = NO RIDE The event centre will open at 07:15 to allow riders to park and use the facilities. Do NOT arrive before this time. Registration will open at 07:30. On arrival please report to registration to collect your rider number, remember to bring your helmet. 1 GETTING READY Once you have registered you can get yourself and your bike ready to ride. Please remember to take the following items with you. ESSENTIAL ITEMS TO BRING You should also carry two spare inner tubes and a puncture repair kit, basic tools, pump. Cycles UK will be offering mechanical support on the day but this should not be relied on to fix existing problems. Please ensure that you have good quality tyres on your bike (less than 6months old) and that your brake pads are not more than half worn. Having new or nearly new tyres on your bike with drastically cut down your chances of a puncture. This will also help you enjoy the ride. FOOD & DRINK Make sure that you have enough food and drink for the ride. Free snacks and energy drink will be available at the feed-zone . Please remember to carry enough food and drink to last the ride, the feed-zone should act as back up only. BIKE NUMBERS Please make sure that you attach your bike number to the front of the bike so it can be seen clearly. Do not wrap it around your bars or seat post. NO HELMET = NO RIDE It is mandatory that all riders wear a safety Helmet. Any one not wearing a helmet will be removed from the event . 2 ROUTE START TIMES When ready – join the group of riders waiting to start. The marshals will start the groups at approx.. 2 min intervals with approx. 10—15 riders per group. Listen to any instructions and route information that the start marshals give. There will be the option to buy additional items at a small cost. The feed-zone will be at the start / finish. What you get free of charge: Water; Energy Drink, Bananas; biscuits & Jelly beans or a similar alterative You will be able to buy; Energy bars, Mars bars, Crisps, etc. This should supplement the food / drink you have taken on the ride and you should not solely rely on this as your only form of nutrition. Please take only your quota of food at the feed stations as we have to cater for all the riders. Track pumps, inner tubes (chargeable) and a multi tool will be available at the feed-zones, For safety, riders must slow down in the approach and exit to any feed-zone. ROUTE CLEARING Our team will set out to clear the route at approx. 3.30pm starting on loop 1. They will be removing all route signs and markings at this point, So please don’t sneak in to cafes for long periods as the route signs may have been removed. Our team will stay behind the last rider and assist any riders who may be having problems. They will aim to have all route markings removed and all riders finished by 16:30. Riders taking too long to complete the course may be directed back via a shorter route if it is deemed necessary by our experienced team. These numbers are for use in emergencies only. Please do not call these numbers for non emergency situations. AT THE FINISH At the finish line, make sure you cross the line so you collect your finishers medal There is no need to give your rider number back EVENT PHOTOGRAPHY Norfolk Cycling Events will be taking photos of riders during the event. Please visit our website to purchase the photos. Norfolk Cycling Events will send out an email when the photos becomes available. 4 COURSE SIGNAGE COURSE SIGNAGE Once you set off from the event centre the route will be marked with the use of arrow signs and markers arrows signs. These signs will be at all junctions and approx.. every 3 miles when no road junction. To ensure that you are on the correct route. FOLLOW THE PINK & BLACK NORFOLK CYCLING EVENTS SIGNS The route is marked using ‘Hot’ Pink signs with black arrows with ‘Norfolk Cycling Events’ markings on them . The route signs will direct you around the course and will be found at every junction and turning and approx. every 3 miles. COURSE SPLIT ARROWS (not applicable at this event) Course split points will be used to highlight where the route splits for the shorter distances . A ‘hot’ pink and black ‘course split ahead’ sign will warn riders that the route will split ahead. Please then follow either 25 / 50 / 100 / 150 route signs SLOW DOWN SIGNS Slow down signs are used to advise riders to reduce their speed as a potential hazard is ahead of them. When you see these signs you should reduce your speed and ride with extra caution. FEED ZONE AHEAD AND FEED ZONE SIGNS Please slow down when you see these signs as riders will be entering and exiting the feed-zones. Although the route is clearly marked , you should study the map before starting to familiarise yourself with your route. If you accidently stray from the route you should back track to the last point you knew you were on the route. Completion of an entry form or purchase of an entry by every participant acknowledges acceptance of these Terms and Conditions by the participant. 1 The participant accepts that the event they are entering is not a race in any format. Rider times will be published for individuals only and anyone considered to be competing against others, will be stopped from riding and banned from entering future events. 2 The participant is fully responsible for their actions whilst attending the event. This includes the event centre and during the ride itself. Norfolk Cycling Events does not accept responsibility for the actions of the participant nor the consequences of such actions. 3 Each participant, upon signing the registration form or purchasing a ticket, agrees that they are physically and mentally capable of riding the distance they have chosen. If, during the event, they decide to change their route and distance, then all consequences of this action are theirs. 4 Each participant will be fully responsible for any fees or costs incurred or arising from an accident either involving or caused by the rider. This includes, but is not exclusive to, fees from Police, Air Ambulance, Fire and Rescue and the Ambulance service in and outside the UK . If the situation arises that you are not capable of making the decision to call the emergency services, the rider agrees that a member of Norfolk Cycling Events or a member of the public may call for them. In this situation, the rider still accepts the costs and consequences of such actions 5 The Event Registration Form or purchase of a ticket must be completed by a person aged 18 years or over. Evidence of age may be requested. Participants under the age of 18 years will be allowed to participate in the event with the consent of their parent or legal guardian who must sign the Event Registration Form or purchase a ticket on behalf of the underage rider. Signing or purchasing a ticket is also an acceptance for the actions and consequences of the underage rider. Under 16’s need to be accompanied at all times by an adult who is responsible for them. 6 All riders who have entered a Norfolk Cycling Events Event, ride the event at their own risk. Norfolk Cycling Events takes no responsibility even if death occurs. You ride the event entirely at your own risk. It is up to yourself to ensure you are physical fit and healthy to partake in the event. 7 It is mandatory that all riders wear a safety approved cycling helmet complying with latest ANSI Z90/4 or SNELL standards. Any rider not wearing a helmet will not be covered by the event insurance and will be disqualified from the event and could be liable for damages if involved in an accident on that basis. The rider must accept this as a condition of entry. Norfolk Cycling Events reserve the right to refuse entry to the event to anyone with inappropriate equipment or clothing. 8 8 The participant confirms that the cycle/bike they are riding for the event and all of their equipment is of a suitable standard and state of trail/road worthiness. In particular, the ability to complete longest distance, and over rough terrain dependant on the event. 9 During the event there will be warning signs at appropriate points on the trails or roads. Absence of these signs does not signal there are no dangers approaching and it is the individual rider’s responsibility to make a decision regarding whether to ride a section or not. The marking of the route does not necessarily indicate that the trail or road is rideable and the participant is deemed to make their own decision about whether to proceed on bike, foot or not at all. 10 Registering for a cycling event indicates your consent for Norfolk Cycling Events to contact you with pre event information and about relevant products or services and research via email, post, phone, SMS. You can opt out at any time via the unsubscribe links in the emails you are sent. 11 Any marked route is shown for guidance only and Norfolk Cycling Events do not insist that you use the route shown. Therefore, if the rider chooses to ride a section, it is entirely their own choice. If they choose a different route to avoid obstacles or sections they decide are beyond their capabilities, they do so entirely at their own risk. 12 You must obey all Highway Code rules. You are requested to ride in single file where appropriate and no more than 2 abreast at any time. Please be aware of your fellow cyclists and any other traffic. Please always indicate your intention to stop or change direction. All cyclists must adhere to and obey the Highway Code, local bylaws and laws of England, Scotland, Wales and N. Ireland where applicable and extend all reasonable courtesy to other road and off road users. 13 Norfolk Cycling Events reserves the right to shorten or alter the published route at any time. Participants do not have the right to claim a refund if the route is shortened. 14 Riders must be considerate to other uses of bridleways, tracks and byways when riding off road. Upon seeing other users, such as horse riders and walkers, riders are required to slow down and pass with care. Where appropriate, riders should stop and wait at the side of the route for other uses such as horse riders to pass safely. 15 Each participant will be fully responsible for any fees or costs incurred or arising from an accident either involving or caused by the rider. This includes, but is not exclusive to, fees from Police, Air Ambulance, Fire and Rescue and the Ambulance service in and outside the United Kingdom. If the situation arises that you are not capable of making the decision to call the emergency services, the rider agrees that a member of Norfolk Cycling Events or a member of the public may call for them. In this situation, the rider still accepts the costs and consequences of such actions. 16 Each participant agrees to assign and grant the right and permission for Norfolk Cycling Events to use and publish any photographs/film/video/electronic representations and/or sound recordings of the participant on any Norfolk Cycling Events activity. The participant hereby releases Norfolk Cycling Events from any and all liability from such use and promotion. The participant hereby authorises the reproduction, sale, 9 17 The participants agree to return or call the event centre should they decide not to finish the course before the close of the event and report to a member of staff. Not doing so will mean that a search may be organised and the subsequent cost will be billed to the rider. 18 Event entry fees cannot be refunded or transferred under any circumstances. 19 Norfolk Cycling Events reserves the right to cancel any event, due to extreme weather conditions of Force Majeure. In such an event, each participants’ entry with be automatically moved to the rescheduled event. If a Participant can't make this event, they can carry their entry to another event of an equal or lower ticket value within the following 6 month period. No refunds will be issued. 20 It is a condition of entry for Events outside of the United Kingdom, that riders are covered by a suitable level of travel insurance to cover the potential activity and liability involved. 21 Participation in the event is at the riders own risk. Insurance cover is provided for all riders against a third party claim arising as a result of accidental damage to a third party property whilst participating in an event. This insurance cover is adjudged void if it is deemed the rider has acted negligently. No further insurance cover is provided by Norfolk Cycling Events for riders participating in an event but Norfolk Cycling Events strongly recommend each rider organises their own personal insurance cover. 22 In the case of competition entries and or giveaways, the winner agrees to the use of his or her name, photograph and disclosure of county of residence and will co-operate with any other reasonable requests by Nor23 Norfolk Cycling Events take no reasonability for damage for transport of bikes either by coach. i.e. Chase The Rising Sun or via the broom wagon. Riders are responsible for their bike at all times 24. Norfolk Cycling Events will provide emergency and mechanical support to riders who get into difficulty or trouble on course, but are not liable and accept no responsibility for damage incurred to riders bikes or other equipment in any attempt made to assist with repairs etc.. 25 Norfolk Cycling Events can increase entry fee at any time and without warning if we feel the market dictates 26 Your entry fee pays only for the safe running of the ride / event. You do not need to raise money for our charities but please give generously if you can! You are very welcome to use our events to raise money for your own charity if you have one or just ride for fun. We will be there to support you what ever you do. 27. Tribars / time trial bars can be fitted to bikes but the rider will not use these bars under any circumstances when riding a Norfolk Cycling Events event. 10
