JOB DESCRIPTION Position Title: Tender and Project Officer Approved by: Michael Muldoon - General Manager Operations Date effective: November 2015 PURPOSE The purpose of this position is to oversee and coordinate Relationships Australia Victoria’s (RAV) grant tender applications, including the writing and editing of submissions, and to support senior managers in the development and delivery of a range of projects. POSITION SUMMARY The Tender and Project Officer will have primary responsibility to oversee and coordinate RAVs grant tender application process, including extensive writing and editing of submissions, managing contributions made by a broad range of staff, and collating information from a variety of sources as required. The role will monitor and identify new funding opportunities aligned to RAVs strategic plan, consult with Senior Managers to evaluate strategic and operational fit, probability of success and contribute to key tender decisions. The role will also act in a support position to other projects and senior managers as required, including undertaking research that explores and informs the organisation’s response to issues and challenges across a broad range of service development, delivery and evaluation activities, and producing detailed, accurate and comprehensive reports relevant to project work that allow for informed decision making by senior management. The role may also require working with subject matter experts across the organisation to achieve the objectives of a range of specialised projects as they emerge, and developing documentation or resources identified through project development and delivery work. KEY RESULT AREAS Area Tasks Research & Tender Development Undertake general research to gather information for the purpose of supporting tender proposal writing. Liaise with internal/external stakeholders, as required to engage, facilitate and develop partnerships which effectively support tender proposals and agreements on an ongoing basis. Write, edit and submit tender submissions Develop project implementation plans, support the realisation of project deliverables and outcomes, and manage data, reports and related information to effectively facilitate project administration. Support senior managers in arrange of tasks to further the strategic directions of the organisation and facilitate effective and efficient service delivery. Build and maintain positive collegiate relationships with central office and centre staff, reporting relevant issues and supporting change management activities, and contributing to a professional and harmonious workplace. Foster good working relationships with external agencies and professionals and promote the services offered by RAV. Represent RAV to local funding bodies, local partnerships and appropriate sector networks. Engage and collaborate with relevant stakeholders in line with RAVs strategic plans and as identified by operational line management. Adhere to, and comply with RAV organisational policies, processes and procedures, using appropriate systems where required. Model the organisation’s values, play a role in raising the profile of these values and associated behaviours across the organisation including a positive contribution to workplace harmony and displaying cooperative team behaviour. Proactively communicate, identify, report, assess OHS related risks and hazards within the centre(s). Demonstrate commitment to the objectives of the team, centre and organisation and show considerable drive and effort in achieving work and organisational goals. Identify, develop and support and/or implement new initiatives, quality and continuous improvement activities as part of a continuous improvement process in own work, team, centre and organisational goals. KEY SELECTION CRITERIA Mandatory KSC: Tertiary qualifications in a related discipline. Demonstrated experience in grant tender writing and a strong understanding of the NFP community services sector. Demonstrated project management knowledge and ability, including the ability to initiate, plan, organise, establish and task priorities with a high level of attention to detail whilst communicating with a diverse range of relevant stakeholders. High level of competency in Microsoft Office suite including Word, Excel and Powerpoint Well-developed written and verbal communication skills. Demonstrated research capabilities and skills. Demonstrated experience managing competing demands and meeting deadlines. Ability to maintain effective working relationships with internal and external stakeholders. Satisfactory completion of a National Police Check, International Police Check (if applicable) and Working with Children check (if required). Highly Desirable KSC: Ability to work independently Ability to implement and drive processes An understanding of the service delivery and administration processes having worked in a similar working environment.
