The 17th Annual K9-3K DOG WALK & WOOFSTOCK Dear Friend, Thank you for your interest in becoming a Team Captain for the SPCA of Wake County’s 2016 K9-3K Dog Walk and Woofstock! We are expecting over 4,000 participants and their dogs on October 2nd at Koka Booth Amphitheatre at Regency Park. With every dollar you and team raise, you are helping a homeless animal find a forever home. As a Team Captain, you will help spread the message that together we can make a big difference in the lives of homeless pets. As part of our largest fundraising event, the 2017 K9-3K Dog Walk teams will be raising critical funds to help the SPCA of Wake County. With our Team Captain Kit, getting your team started couldn’t be easier! You can start by registering online, setting up your personal web page and inviting your friends, family and co-workers to join the fun. You can also use the enclosed printed form to set up your team. We will be with you every step of the way as you build your team and raise money. From assisting you with setting up your fundraising page to suggesting creative fundraising ideas, we are here to support you in achieving all your recruiting and fundraising goals. What else is there to do at the Dog Walk? The K9-3K Dog Walk & Woofstock is on Saturday, April 2, 2016 at Koka Booth Amphitheatre in Cary. The fun begain at 9am and lasts until 2pm. There are so many things to do at the K9-3K Dog Walk & Woofstock! You can enter our pets contests, including best trick and best costumes. You can watch agility demonstrations while enjoying great food from local food trucks. And plan on visiting our many wonderful vendors and sponsors at the Vendor Village. Enjoy live music while your kids play in the Family Fun Zone. Can anyone participate? The K9-3K Dog Walk & Woofstock is open to the public and all are welcome to the participate - and bring the dogs! The route is stroller and pet-friendly. If I have registered and am walking my dog, is it okay if my spouse or partner comes along? Registration for the event is per person, not per dog, so if your spouse or other family member wants to walk with you, registration is necessary. Register before March 1st and receive $10 off each registration with the early-bird special! What about cat lovers? Do you have to bring a dog to walk or can you come by yourself? You don’t have to walk a dog to participate in the event. We welcome cat lovers! In fact, walk in honor of your cat. Where does the money go? 100% of the money you raise goes directly to helping the homeless animals in our care. Your gifts help us care for more than 3,400 cats, dogs, rabbits and other small pets each year, as well as bring valuable services to the pets and people in our community. Please know that your support is vital to the SPCA of Wake County — donors make all the work the SPCA does possible. We do not receive any local, state or federal dollars. We are an independent nonprofit organization and receive no funding from the ASPCA. Is my Dog Walk registration fee tax deductible? What does it mean to be a Team Captain? Team Captains help recruit and organize a team of walkers. With our step-by-step guide to leading a winning team, being a Team Captain is a fun and easy, and will help save animals’ lives. How can people register? You can register online at spcawake.org/walk or use the printed form included in this kit. What is the deadline for turning in donations? All of the money you raise needs to be turned in by April 30, 2016 to be eligible to win incentives. If you have registered online, donations will show up on your personal fundraising page once they have been processed. Where do I send donations that I have collected? We have several options for you to turn in your donations: • Mail your donations off at the SPCA Pet Adoption Center, 200 Petfinder Lane, Raleigh • Drop off your donations off at the SPCA Pet Adoption Center, 200 Petfinder Lane, Raleigh • Drop off your donations on Walk Day at the Check-In Area Please make sure you include your participant information, along with your donors’ information so that we can credit your web page! Unfortunately, no. The Internal Revenue Service considers entry fees for charitable races and walks to be similar to tickets for sports games, gala events or theater performances — it is the price paid for attending and participating. Since it is considered an entertainment fee, it is not tax deductible. However, any donation above the registration fee or made to support a Walk participant is. Every dollar raised makes a difference and collecting donations is easier than you think. SET A GOAL: How many walkers do you want to recruit to your team? GET PEOPLE TO HELP: Find a few family members, friends or colleagues interested in participating who can help recruit team members and help organize your team. SEE IF YOUR COMPANY OFFERS MATCHING GIFTS: Many companies have matching gift programs that will match donations raised by your and your team. Contact your human resources department to see if your company provides this benefit. WEEK 2: FEBRUARY 15 — FEBRUARY 19 DISTRIBUTE BROCHURES: Place Walk brochures in high-traffic areas and let co-workers know where they are located. Have walkers contact you directly so you can keep track of your team members. HANG POSTERS: There are Walk posters included in your kit. Hang these in visible locations. If you need more posters, please contact Amy at acrum@ spcawake.org or at 919-532-2087. EMAIL YOUR TEAM WEB PAGE: Send an email with a link to your web page to family, friends and colleagues to recruit team members and get donations. Emphasize the steps in “How to Raise $200 in One Week” in your email. USE SOCIAL MEDIA: Communicate to all your contacts via social media platforms you use. Be sure to include #SPCAK93K. WEEK 3: FEBRUARY 22 — FEBRUARY 26 CONTINUE TO REACH OUT: Continue to reach out to everyone you know who might be interested in supporting the animals. On average it takes three emails to get most people to go online and donate, so don’t be shy about asking! GET CREATIVE WITH RECRUITMENT: Add a team link web page to your email signature, distribute brochures to colleagues in your office and reach out through social media. Make sure to encourage them to bring family and friends. WEEK 4: FEBRUARY 29 — MARCH 4 ENCOURAGE EMPLOYEES: Encourage colleagues to create their own Dog Walk team and foster competition for the most money raised or most walkers participating. START A TEAM CHALLENGE: Start a Team Challenge in your workplace or social group. WEEK 5: MARCH 7 — MARCH 11 REVIEW YOUR GOALS: See how you measure up to your original goal for team members. Have you recruited enough walkers? If not, brainstorm with your team about more people to join. IDENTIFY YOUR TEAM: Get your team noticed at the Walk! Find a creative way to “stand out” at the Walk. Dress in the same color shirts, same hats or order your own T-shirts. Dress your animals the same! Create a team name. Have fun creating your “brand”! REVIEW THIS CHECKLIST: Review to make sure you haven’t missed any important tasks. WEEK 6: MARCH 14 — MARCH 18 STAY IN TOUCH: Keep communicating with your team members. Set aside a few minutes each day to email or call your team members and see how they are doing with fundraising and recruitment. HOLD A MEETING: Get your team inspired with a meeting to coordinate last minute details like where you will meet on site at the Walk. WEEK 7: MARCH 21 — MARCH 25 RALLY YOUR TEAM: Maintain your team’s inspiration with a “One Week to Go” message. MAINTAIN MOTIVATION: Re-read “How to Raise $200 in One Week” and remind your team members of these simple steps for a final push before the Walk. WEEK 8: MARCH 28 — APRIL 1 DOUBLE CHECK: Check that everyone has asked if their employer has a matching gift program. DAY OF EVENT: APRIL 2 REMIND YOUR TEAMMATES: Remind your team where you will be meeting and to bring with them any donations they have not yet turned in. HAVE FUN! Enjoy the Walk, the animals and the people. Be proud of what you’ve done to save the lives of homeless pets. POST EVENT: APRIL 3 — APRIL 30 THANK YOUR TEAMMATES: Follow up with a letter, email or phone call to thank them for their teamwork and efforts. Encourage them to continue fundraising if they are close to the next incentive level. Remind them to turn in any donations not yet submitted.
