Page 2 SCHOOL SUPPLY DRIVE Page 3 CHURCH MUTUAL INSURANCE COMPANY ASSESSMENT The items mentioned below are suggestions from the insurance company, not requirements. The sidewalks are the one thing that the insurance company has put as a priority due to possible accidents caused by tripping, etc. Following are the results of the risk control survey and the recommendations to reduce the potential for claims and other forms of loss. 1. The sidewalks surrounding the church appear to have some sections of concrete that have either been raised by tree roots or have sunk, resulting in abrupt changes in the grade of the sidewalk areas. These areas should be periodically inspected to ensure that the changes in the grade of the walkway are not so abrupt as to be a ‘trip hazard’. The Trustees have already started on this. 2. It became clear after discussing details of a specific claim that several volunteers had consulted with the claims representative. It was unknown if this had resulted in any confusion or other issues. It would be in the best interest of the church to appoint one individual who is conversant with the issues surrounding claims to confer with the claims representative and reduce the potential for any misunderstanding or slow down in the claims’ resolution. 3. To better protect your organization from the hazards associated with uninsured or inadequately insured contractors, tenants, or outside groups and organizations, you should require all contractors, tenants and outside groups or organizations that come onto your property or use your facilities to provide you with a certificate of insurance. You should also be named as an additional insured on the certificate. The certificate should be obtained prior to anyone working on the building/grounds or using the building/grounds. 4. Consideration should be given to reviewing your procedures for privately owned vehicles used for church business or sponsored activities. Church Mutual suggests the following plan of action. a. Anyone driving on behalf of your organization should be approved by the organization. b. All drivers should be 25 years of age or older. c. A copy of the driver’s license of each driver, as well as proof of insurance and proof of registration, should be kept in your office d. A motor vehicle record search should be performed on each driver and checked annually. This search can be made by visiting Church Mutual’s website. e. All vehicles used for your organization should be in good condition and well maintained. f. Discuss hired and non-owned automobile liability insurance with your Church Mutual sales representative. 5. Any inventory of valuable equipment, books and other contents in the church, should be documented in an inventory listing. We all need to take the time to look around the buildings and grounds to make sure we are keeping up with the needed repairs and to make sure we remain safe and secure in our church environment.
