RULES FOR ADMISSION TO AND PARTICIPATION AT THE SHERBETH FESTIVAL
2016.
ART. 1 - INTRODUCTION
These Regulations govern the general criteria for admission to and participation at the “Sherbeth
Festival 2016”, which will be held from the 29th September to the 2nd October 2016 in Palermo,
Sicily, Italy.
Through this event of international importance, the event organizers are able to offer participants a
unique showcase for their products.
The event creates development opportunities in the human resources and cultural sectors in Sicily
and the Mediterranean Basin, whereby providing a network of communications and contacts
throughout the industry. The event also offers the opportunity to keep up-to-date with innovations
in the sector.
The project aims to promote, strengthen and enhance the culture of handmade Gelato (Italian
artisanal ice-cream).
ART. 2 - PARTICIPATION OF COMPANIES
Admission is free. All Italian and foreign gelato producers are eligible to participate, if correctly
registered at their Chamber of Commerce of equivalent institution.
Societies for the protection and/or the promotion of handmade gelato and any other associations
from the sector are also eligible to take part.
ART. 3 - PARTICIPATION OF PRIVATE AND PUBLIC INSTITUTIONS
Public, Territorial and Promotional organizations are eligible, together with associations, consortia
and any other entity which aims to develop and promote local traditional products and products
from the area.
ART. 4 - CRITERIA FOR ADMISSION AND EXCLUSION
Admission to the event can be obtained by completing the “Application Form” online on the
following website: www.sherbethfestival.it correctly filled in and signed by the legal representative
of the applicant company.
Admission must also contains:
• Application form (to be completed and attached);

• Questionnaire (to be filled online);
• ID of the legal representative and the ice-cream maker (if different);
• Number 6 photos: (2 ice cream, ice cream counter 1, 2 first floor of the ice cream maker writing, 1
logo).
The biographies, photographs and a list of the ingredients remain the property of the Organization,
to publish them before, during and after the event.
Failure to meet these standards, the gelato maker is liable to penalty.
Screening of the applications forms and selection of the companies is the task of the Technical
Evaluation Committee (hereinafter referred to as TEC).
The TEC reserves the right to accept applications forms subject to availability of exhibition spaces,
which for the year 2016 has been established as 50.
The selection of companies is at the sole discretion of the TEC, which may ask for further
technical/quality specifications deemed necessary for the selection process.
The TEC also pledges to ensure a balanced selection of flavours and a fair representation of
geographical areas in the event.
The selected companies, within 15 days of the receiving the admission email with the
credentials of access to their account on www.sherbethfestival.it site, will have to improve
their request to participate online by uploading the following documentation:
• Copy of the Chamber of Commerce certificate;
• Authorization for the administration of foods and drinks;
• HCCP certification;
Failure to complete its own request of participation will result in the nullity of the request and
the consequent exclusion from the Festival.
The following companies are NOT eligible for evaluation and, therefore, for participation:
•
those subject to bankruptcy or other insolvency proceedings;
•
those where the owner or partners is/are subject to legal proceedings or has/have convictions for
fraud and/or food adulteration.
In addition, the TEC reserves the right to, unilaterally and at any time, modify/supplement the
exclusion criteria outlined above, giving due notice to all interested parties.
The parcipating companies will be notified in writing of the acceptance of their application form.
All companies deemed eligible to participate in the event will be notified of all aspects relating to
the organization of the event.
Deadline for submission of applications is 15 May 2016.

ART. 5 - COSTS TO BE CHARGED TO THE SHERBETH FESTIVAL
The Sherbeth Festival will be responsible for all expenses relating to the exhibition spaces, fittings,
fixtures and furnishings, as well as insurance for the area used. Any authorization needed for the
normal running of the event will also be the responsibility of the Sherbeth Festival, with the
exception of food safety permits, which are strictly the responsibility of the gelato producers
themselves.
The Sherbeth Festival will also cover the costs of:
•
advertising
•
organization
•
management
•
transport of equipment and raw materials (on prior approval of the event organizers)
•
entertainment – including artists and musicians
•
equipment needed for the distribution of gelato
•
cleaning and hygiene of the exhibition space
•
rent of machines for the production and conservation of gelato
•
assistance to exhibitors
•
security service;
•
transfers at scheduled times.
ART. 6 - TICKETS AND TASTINGS
Gelato tasting is only possible through the acquisition of a “tasting ticket”.
ART. 7 EXPENSES REIMBURSEMENT.
Gelato producers will be able to claim expenses for accommodation and meals (half board) for two
people staying in double room in event affiliated hotels for 6 nights from September 27th (check
in) until October 3, 2016 (check out).
The costs related to travel expenses are considered to be totally supported by the participant who
will have the obligation to communicate date and time of arrival.
ART. 8 - ASSISTANCE IN DISTRIBUTION
The participant company will ensure the presence of an assistant to the distribution.

ART. 9 - REGULATIONS FOR PARTICIPATION AT THE SHERBETH FESTIVAL 2016
a) Gelato producers participating in the event must use wholly natural, high-quality produce for
the production of their gelato.
b) The following are not allowed in the production of the gelato: hydrogenated vegetable fats,
freeze dried products, artificial colourings and flavourings, and GMO products.
c) In order to enhance the organoleptic qualities of the product, gelato makers are asked not to
‘heap’ the gelato in the tubs.
d) during the production phase, the gelato parlours may be subject to inspection by the TEC, which
monitors compliance with the procedures and requirements contained in these Regulations;
e) each participating gelato maker is obliged to disclose the recipe of the gelato which will be
produced during the Sherbeth Festival, and is required to send the recipe together with the
application form to the Event offices in order to allow the TEC to make a preliminary quality
assessment of the final product;
f)
Each gelato maker is obliged to display a list of ingredients in their exhibition space. This list
must be communicated to the Event offices in advance. The offices will print all the recipes at
one time to ensure uniformity (coordinated graphics), which will then be fixed to display stands;
g) It is strictly prohibited for gelato makers to display objects, dispensers, bottles, boxes,
containers, trays, accessories or other with text or logos (symbols) of companies which produce
industrial/semi-processed products, drinks etc, in their exhibition space. It is only possible to
use materials provided by the event organizers;
h) It is strictly forbidden for gelato makers to alter the event logo on the stand;
i) Participating gelato makers and assistants are strictly obliged to wear uniforms with the event
logo, which will be supplied by the Sherbeth Festival 2016 event organizers, for the entire
duration of the event. It is of particular importance to ensure that the abovementioned uniforms
are worn during institutional and representative events, including group photos and video
footage, and, in particular, the awards ceremony.
j) The gelato maker and his/her assistants will be entrusted with the stand and materials for tasting
for the duration of the event. These must be handled responsibly from the opening to the
closure of the Gelato Village;
k) It’s strictly forbidden for the gelato maker or his assistant to leave the stand unattended at any
time during the opening times of the Village.
l) It is strictly forbidden for a gelato maker and his/her assistants to damage or alter the

stand/equipment/materials supplied in any way;
m) It is forbidden for gelato makers to distribute any gelato flavour other than those agreed upon;
n) It is strictly forbidden for gelato makers to distribute gelato without receipt of a coupon;
o) It is strictly forbidden for gelato makers to distribute spoonfuls of gelato; tasting can only take
place on receipt of a coupon.
ART. 10 – ADMISSION TO THE EVENT AND ALLOCATION OF EXHIBITION AREAS
Allocation of the spaces will be decided by the TEC based on organizational, technical-planning
and functional needs, which aim to optimize the overall organization of the event. The TEC
reserves the right to modify, reduce or change, at any time, the location and/or size of the allocated
area as the need and/or circumstances arise, without the gelato maker incurring the right to
compensation of any kind. Subletting or transferral to third parties of the whole or part of the
allocated exhibition space, is not allowed .It is also prohibited to allow other companies space in the
stand.
ART. 11 - EQUIPMENT FOR GELATO PRODUCERS
The organizers will supply the following:
•
Glass fronted gelato cooler, complete with display tubs and scoops;
•
Paper roll for cleaning;
•
Small Tubs for tastings;
•
Small plastic spoons;
•
Mini-cones;
•
Napkins;
•
Kitchen cloth;
•
Waste containers.
At the end of the event, the exhibition space/stand, furniture and equipment must be returned in the
same condition they were entrusted in. Any damage or alterations caused will be charged to the
gelato producer.
ART. 12 - CENTRAL LABORATORY FOR GELATO MAKING
A fully operational Central Gelato Making Laboratory will be provided, which will serve as the
production centre for gelato and will be equipped with:
•

•
positive temperature vertical display cases;
•
workbench with sink for cleaning, including accessories;
•
scales and utensils (buckets, bowls, scoops/palette knife, whisks, etc.)
•
paper roll for cleaning;
•
cleaning fluids;
•
kitchen cloth;
•
waste containers.
Inside the Central Gelato Making Laboratory, the event organizers will make the following
materials available for producers: Full cream milk, fresh cream, sucrose, pasteurized eggs, various
sugars (dextrose, glucose, maltodextrin).
Other products such as bases, neutral bases, pastes, fresh fruit, etc. are the specific responsibility of
the gelato maker.
Specialized supplies are not covered in basic equipment and can be supplied only if requested well
in advance to the Event organizers.
Use of the Laboratory will be governed by the organizers, with whom times and days must be
agreed upon. In addition, gelato makers who make use of this area must wear the uniform and cap
provided. The production area must be cleaned carefully before being given back to the organizers,
who will subsequently check the conditions in which it was left.
ART. 13 GELATO SUPPLY
Given that visitor numbers to previous festivals were considerable, and considering that, for the
image of the event, it is important that there be a sufficient quantity of gelato to meet daily demand,
gelato producers are required to make a minimum of approximately 200 Kg of gelato per day of the
agreed flavour in order to ensure the success of the Sherbeth Festival 2016.
ART. 14 - WAIVERS
Gelato producers which have been selected but which cannot participate must send prompt written
notice by fax, stating the reasons for the waiver and non-participation, no later than June 13th 2016.
If required, the organizers reserve the right to demand damages.
ART. 15 - CANCELLATION OF THE EVENT
For exceptional circumstances which may arise, the Sherbeth Festival reserves the right, at any

time, to postpone or cancel participation at the event, with no obligation to pay compensation.
ART. 16 - JURISDICTION
All disputes arising under these Regulations shall be referred to the Court of Palermo.

•
to distribute exclusively the flavour agreed upon with the TEC;
•
to distribute, throughout the whole of the event, the agreed flavour strictly to those visitors
which have tasting coupons, as stipulated by the attached regulations, on penalty of
sanctions;
•
to accept the stand which is allocated by the TEC;
•
to respect the allocated sessions when using the central production laboratory and the
hygiene and cleaning rules provided.
•
to produce the minimum amount of gelato as stipulated in article 12 of the attached
Regulations;
•
to have read the aforementioned Set of Regulations and to accept it explicitly and in its
entirety.

N.B: The participating Gelato producers may be subject, during the production and distribution stages, to inspection
by the TEC and/or any checks by the competent authorities in order to verify compliance with regulations on food
hygiene. All staff involved in distribution and production must, therefore, be in possession of the necessary
authorization certificates.
