Sunnybrook Rules - Willowdale Group of Artists

Sunnybrook Fine Arts
Terms and Conditions
1. Bring the number of paintings specified by your Coordinator
2. Maximum price is normally $500 per painting, subject to discussion and prior approval for
exceptional cases. The minimum is $150
3. Paintings framed behind glass must have a maximum perimeter of 110 inches; without glass the
maximum perimeter is 120 inches
4. We reserve the right to refuse paintings whose matting and/or frame and glass are unclean or
damaged and are unsuitable for sale, or are of unprofessional quality
5. Security brackets are attached to the paintings so they can be locked to the display bars, which
means that for wooden frames the back border must be wide enough to receive a screw to attach
the bracket without cracking the frame
6. Hanging wire must be attached with flat hangers rather than screw eyes, and the wire ends must
be taped
7. Prints are not acceptable, except authentic limited edition numbered prints or hand-pulled
monoprints
8. No photographs except by special invitation
9. Sunnybrook Health Sciences can not accept responsibility for any paintings stolen or damaged

When we quote the show dates as, for example, January 9 to February 27, 2016 this means that the
paintings are to be dropped off on Saturday, May 3 and picked up on Saturday, June 14. Drop off times
are 10.30 a.m. to noon, and pick up is 9.00 to 10.30 a.m.
The form has six spaces for painting information, and says “No more than 6 paintings per artist”.
However, this does NOT mean that everybody is to bring in six paintings. We can accommodate a total of
about 80 paintings in total. The number obviously depends on the sizes of the work, but we have found
over the years that 80 is a very good number. This means that the number of paintings per artist can be
calculated as 80 divided by the number of artists. In other words, if 16 artists have signed up they should
each bring 5 paintings.
The completed form is to be dropped off with your paintings.
If you have signed up to participate, please do not decide to drop out at the last minute. The corridors of
the hospital really benefit from having a good display, and the effect is spoiled if the paintings are sparsely
distributed. We have regretfully had to withdraw the invitation of groups whose members have not
brought in their work, leaving us with a weak display.
We therefore request that the Club coordinator ensures that all participants are serious about taking part,
and that they are reminded shortly before the drop off date.
We also request that coordinators provide us with a list of participants, with telephone numbers (so we
can reach them on drop off day, if necessary) and the number of paintings that each participant will bring.
At the same time we ask for a digital image of one of the works that will be hung. We will use this on
posters that we will put up in the hospital to publicise the show.
All paintings must be in ready to hang condition, complete with wires. Wires must be attached using flat
hangers rather than screw eyes, and wire ends must be taped.
