Poudre River Friends of the Library Monthly Board Meeting 2:30 PM Harmony Library Community Room January 19, 2016 Board Members Present: Julie Lechtanski, President Monica Gavin, Vice President/Secretary (joined meeting in progress) Trish Kelley, Treasurer Margo Fredlake, Assistant Treasurer Lil Price, Member at Large Georgia Ray, Member at Large Kat Choquette, Member at Large (joined meeting in progress) Robin Gard, Past President Ex Officio Board Members Present: Ken Draves, Deputy Library Director Peggy Reeves, Library Trust President Call to Order: Julie opened the meeting by welcoming board members and asking for additions or corrections to the November minutes. Two corrections were noted. Robin moved we accept the minutes as amended and Georgia seconded. The December minutes were approved with corrections. Library District Report (Ken Draves): Holly Carroll is representing the Library District at a White House library summit. Holly has announced her resignation effective May 5, 2016. The Board of Trustees will be appointing an Interim Director and using an executive search firm to conduct a national search for the next director. Library staff is already busy planning for the 2016 Summer Reading Program. The Library District will be commissioning a new Facilities Plan for the future. Library Trust Report (Peggy Reeves): Annual meeting held January 5. Julie and Robin attended from the Friends. The Trust thanked the Friends for their assistance in promoting Colorado Gives Day. New officers: Joey Hoefler, President/Tom Peterson, Vice President/Linda Hopkins, Secretary/John Knezovich, Treasurer The Trust is working on a budget and other items required for Colorado Gives involvement Treasurer’s Report (Trish Kelley): The monthly financial detail through December, 2015, was submitted and reviewed with notes added to explain unusual transactions. The year-end totals reflect $12,000 over what was expected in revenue, mainly due to income from ComicCon. Book Sale (Robin Gard): Everything is on track. Claudia has volunteers lined up and Phil is working on loading and setup help and has the truck reserved. We will experiment with $5 Grab Bags. We still have a few calendars and it was decided to offer those to folks purchasing over $20 worth of books. Staff will be allowed in early to choose books to thank them for putting up with the sale disruption. Robin gave a brief history of the Library District and explanation of the District, the Trust and the Friends. Unfinished Business/President’s Report (Julie Lechtanski): Storage and inventory continue to be a concern. Julie will work with Thrift Books out of Arizona to reduce inventory. We sold 134 calendars and had 66 remaining. 34 of those were given to Bill Campbell to list on Amazon, 12 were put with a Friends brochure in library book club kits, 4 were given to the library for staff prizes and the remainder will go to the book sale and be given out with purchases over $25. This promotion brought in about $700 over and above our cost. New Business: The 2016 budget was reviewed. There were no changes made. Lil made a motion to accept the 2016 budget and Margo seconded the motion and the motion passed. Discussion Items: Julie researched a fundraiser called Big Al’s Change Jar sponsored by the restaurant Big Al’s Burgers and Dogs. Only available to charitable 501(c)(3) organizations, Big Al’s collects donations in a jar at the restaurant and one organization is picked monthly to receive the money. Trish will complete the application and submit it to Big Al’s. Events & Information: Kevin Cook’s presentation on “Planting Colorado” will be held February 9, 2016, at 12:00 pm at Old Town Library. Harmony in the Round Music featuring the Ivy Street Ensemble will be held February 12, 2016, at 7:00 pm at the Harmony Library. Help is needed for both events. Contact Julie if interested. Robin thanked Kat for her help in distributing flyers for the January Book Sale Robin thanked Georgia and Bill Ray for hosting the Friends of Library Holiday Party. Ken Draves reminded members the Spellapalooza (spelling bee for adults) will be held on January 28, 2016, at Avogadro’s, 605 S. Mason Street. Due to her school schedule, Kat requested we change our meeting start time from 2:30 pm to 3:00 pm. After discussion, Robin made a motion to change the meeting time from 2:30 to 3:00 pm. Kat seconded the motion and the motion passed. Adjournment: Julie reminded members that Johanna Ulloa, Library Outreach Services Manager, will give us a presentation at the February meeting. With no further business, Margo moved that the meeting adjourn. Trish seconded the motion and the meeting adjourned at 3:40 pm.
