"serving the public by guiding the medical profession" Recruiting Profile Position Title: Senior Medical Advisor Assistant, JDR Department: Professional Conduct JE Band: 4 Reports To: Barron, Sharon Provides assistance to Senior Medical Advisor in the formal investigation and informal resolution processes of the Health Professions Act as assigned Role by the Complaints Director. Drafts and follows up all correspondence, drafts Summary: initial investigation report, and ensures complaint database is up to date and proper tracking occurs. Major Duties Percentage of Time Assists Senior Medical Advisor: Drafts all outgoing correspondence as appropriate to ensure collection of information in a timely fashion. Includes follow up letters, reminder letters, file review requests, progress letters, etc. Prepares the draft investigation report based on the information on file; keeps the draft report current based on all incoming information. Transcribes dictation within 2 days of receipt. Formats and proofreads all correspondence and investigation reports to ensure no grammatical errors. 70% Ensures timeliness of investigations through data base tracking. Records, tracks and maintains the status of each complaint file assigned to each Senior Medical Advisor. Receives incoming correspondence, tracks and follows up as appropriate. Completes data entry and ensures filing is up to date. 20% Provides administrative support: Completes photocopying and prepares correspondence for mail ensuring proper severing is completed and tracking where appropriate. Schedules and maintains appointment calendar and books meeting 10% rooms. Makes necessary arrangements, including travel for outoftown meetings. Other duties as required.
