Minutes from the city centre sits the Royal Botanic Garden Edinburgh, with its 70 acres of
manicured lawns, landscaped grounds and gardens.
Aside from being a pleasant place to take a stroll, the Royal Botanic Garden is a most
romantic, simple and idyllic setting for a wedding of any kind, from the simplest of ceremonies
to a lavish banquet and celebration.
With a variety of spaces and venues across the Garden our bride and grooms are spoilt for
choice.
Our chefs have composed menus using the finest Scottish products and seasonal ingredients,
with something to suit all tastes. Included are three sample menus and drinks packages. These
are merely a taste of what we can offer.
We also offer an a la Carte selector for you to choose your own menu, or if this is still not what
you are thinking of our event coordinators and chefs will be happy to discuss your ideas with
you. We recommend organising a menu tasting to help you decide upon your chosen of
menu.
Our prices include crisp white floor length table cloths, linen napkins, elegant white Royal
Doulton china, King’s pattern cutlery and glassware. This is complemented with the efficient
service from our fully trained staff.
Additional theming to your wedding is available and we work with local suppliers to get the
best quality every time. Samples and quotes are provided on request.
With the expertise of our on site team of dedicated event organisers and managers we will see
that all of your requirements are covered for the day from the initial enquiry to the big day and
beyond.

Locations
John Muir Grove
(Maximum 40 seated / 100 standing)
This is an outdoor area suitable only for ceremonies in dry weather.
Seating up to 40 guests, with an additional 60 standing the John Muir Grove is one of the most
romantic locations to exchange your vows with the person you love the most. Set amidst the
Redwood Trees and Rhododendron’s the John Muir Grove lends itself beautifully to your
outdoor wedding ceremony.
The ceremony in the John Muir Grove would have to have a wet weather from the venues
below agreed.
Caledonian Hall
(Maximum 100 seated / 100 standing)
Build in 1842 by the Royal Caledonian Horticultural Society and with views overlooking the
famous Rock Garden and its waterfalls, the Caledonian Hall with its high ceiling, many beautiful
period features and large windows is the ideal venue for a wedding ceremony, drinks post
wedding, dinner area and celebration space with dancing and band.
A marquee can be erected outside the Caledonian Hall to add flexibility to the numbers and
wet weather options above. Your Event Coordinator will be happy to discuss this in more detail
and advise current costs.
David Douglas Room
(Maximum 40 seated / 40 standing)
Set within the new John Hope Gateway, ‘floating’ over the Garden with stunning views
overlooking the newly created Biodiversity Garden and onto Inverleith Lawn, the David
Douglas Room is ideal for smaller wedding ceremonies, or as a wet weather alternative, for
smaller dinners post ceremony. During the summer months the David Douglas room benefits
from direct access to the terrace outside the David Douglas Room and Gateway Restaurant.
John Hope Gateway
(Minimum 80 and maximum 180 for your evening reception - maximum 120 for seated dinner)
As a daytime visitor centre, the full John Hope Gateway and adjacent terrace is only available
to hire in the evenings for post ceremony dinners and celebrations. This space is NOT available
as a wet weather alternative. The hire of the John Hope Gateway includes the exclusive use of
both floors of this brand new stunning event space and offers unrivalled views from the terrace
of the gardens and across Edinburgh.

All events taking place in the Garden should not run beyond 12 midnight
The John Hope Gateway events may finish at 1am.
There will be other visitors in the Garden on the day; therefore we ask that your party
access the Garden via the East Gate on Inverleith Row for the John Muir Grove and
Caledonian Hall or West Gate for David Douglas room and John Hope Gateway.
The wedding car may be brought to the Caledonian Hall, but no other vehicles are
permitted in the Garden. Disabled vehicle access on request.
On arrival please confirm your party’s details with the Steward at the Gateway
Reception or East Gate Lodge.
Guests are requested not to throw confetti in the Garden as there is a NO CONFETTI
policy, penalties may apply.
Security fee applies to all events which go beyond the Garden closing time in the
Caledonian Hall, John Hope Gateway. This is currently a minimum charge of £195
A marquee erected to increase numbers slightly at the Caledonian Hall will be at cost
to the client and may incur a grass repair charge. This can be confirmed when
booking.

Consumer Terms and Conditions of Booking Services for a Function
IMPORTANT NOTICE TO THE CUSTOMER:
To protect your own interests as a consumer please read this document carefully before signing and returning the Event Agreement to
Prestige. If you are uncertain as to your rights contained in these terms and conditions or if you want any explanation about them please
contact your local Citizen's Advice Bureau or consult a solicitor.
The following terms and conditions apply to and form part of the Contract entered into between Prestige and a Customer making a booking
for Services to be provided at a Function.
Definitions
In these terms and conditions, unless the context otherwise requires:

Act means any production company, performers, musicians or other live act or equipment.
.2
Balance means the balance of the Charges remaining due after the Deposit has been paid.
.3
Charges means the sums which the Customer has agreed to pay to Prestige in respect of the Services for the Function.
.4
Contract means the contract for the supply of Services by Prestige to the Customer comprising these terms and conditions, the
Event Agreement and the Function Sheet.
.5
Customer means you or the person on behalf of whom you are making the booking.
.6
Deposit means the greater of £1,000 or 25% of the total anticipated Charges.
.7
Event Agreement means the document confirming the Customer’s requirements which is signed when entering into the Contract.
.8
Function means the function, party or other occasion at which the Services are to be provided.
.9
Function Sheet means the document stating the Customer’s detailed requirements for the Function, which shall not contradict the
Event Agreement in any material respect, save for variations permitted in accordance with condition 11 of these terms and
conditions.

Guest means any person attending the Function.
.11
Payment Request means a written request for payment of all or any of the Charges, including an invoice.
.12
Premises means the rooms or locations within the venue, stadium or other premises at which the Services are to be provided.
.13
Prestige means Sodexo Prestige Limited.
.14
Services means the supply of food and drink and any catering and other services agreed between the parties in the Event
Agreement and the Function Sheet.
.15
VAT means Value Added Tax or any similar tax in force from time to time.
Formation of Contract
.1
The Contract shall be created when Prestige receives the signed Event Agreement from the Customer together with the Deposit
and the Event Agreement is then signed on behalf of Prestige. The Event Agreement is attached to these terms and conditions.

Approximately [♦] weeks before the date of the Function, Prestige will send a Function Sheet to the Customer. The Function Sheet
forms part of the Contract and contains further details about the Services to be provided by Prestige at the Function, including the
number of Guests and specific choice of menu.

The Services are provided by Prestige subject to these terms and conditions together with any previous written or oral promises or
claims made by Prestige or any of its authorised representatives.

Prestige intends to rely upon the written terms and conditions set out in this document. If the Customer requires any changes, this
request and any changes made must be put in writing to avoid any uncertainty as to what Prestige and the Customer are
expected to do.

Until the Event Agreement has been signed by the Customer and on behalf of Prestige, there is no Contract in place.
.6
If there is any inconsistency between the terms and conditions, the Function Sheet and the Event Agreement, priority will be given
first to the terms and conditions, then to the Function Sheet and finally to the Event Agreement.

Where the Contract only relates to the provision of food and beverages as part of a hospitality package at a Function, these terms
and conditions shall apply so far as they are relevant to that situation. In particular, condition 5.1 shall not apply.
Prestige's Obligations
Prestige shall use reasonable care and skill in supplying the Customer with the Services detailed in the Event Agreement and the
Function Sheet.

Customer’s Obligations
.1
The Customer shall:
(a)
.2
notify Prestige in writing not less than [5] days prior to the Function of the final number of Guests attending the
Function;
(b)
pay for the greater number of Guests notified to Prestige of the actual number of Guests attending the function;
(c)
return the Function Sheet to Prestige not less than [♦] days prior to the date of the Function;
(d)
pay the Charges promptly as such sums become due to be paid;
(e)
obey all reasonable instructions given by Prestige staff at the Function;
(f)
pay the cost of clearing up unreasonable amounts of debris (including party string or vomit) resulting from acts of the
Customer or its Guests;
(g)
not damage, nor permit any of its Guests to damage or deface the Premises in any manner whatsoever nor allow or
permit a breach of the law. The Customer shall ensure that nothing shall be done which may constitute a breach of
the law or in any way cause a nuisance or be an infringement of any licence for music and dancing or the sale of
alcohol. Failure to comply with this clause shall constitute a breach of these terms and conditions and entitle Prestige
to require the offending Guest(s) to leave the Function if it is reasonable for Prestige to do so;
(h)
not consume any food or drink within the Premises except for that supplied as part of the Services;
(i)
not introduce or attempt to introduce any signage or other publicity material into the Function or onto the Premises
without Prestige's prior written consent. This consent shall not be refused without good reason;
(j)
obtain Prestige's written permission, such permission not to be refused without good reason, before the Customer hires
any Act for the Function; and
(k)
ensure that the Act has public liability insurance to the value of at least £2 million to cover any death of or injury to any
person or the loss of or damage to any property resulting from the malfunction of the Act's equipment and from their
actions generally.
The Customer confirms that they are buying the Services as a consumer for their own use and accordingly do not intend to resell
the Services.
Deposits
.1
The Customer must pay a Deposit in order to reserve the date or dates of the Function with Prestige for the provision of the Services
unless the Event Agreement is received by Prestige less than 30 days before the date of the Function.
.2
Prestige will send the Customer a Payment Request asking for payment of the Deposit. The Customer must pay the Deposit to
Prestige within 14 days of the date of that Payment Request.
.3
The Balance will not be due until closer to the date of the Function. Prestige will send the Customer a Payment Request for the
Balance approximately 30 days before the date of the Function showing that the Customer has already paid the Deposit and that
the amount of the Deposit has been deducted from the total Charges. The Balance must be paid at least 14 clear days before
the date of the Function.

If the Event Agreement is completed by the Customer and received by Prestige less than 30 days before the date of the Function
the Customer will not have to pay a Deposit. Prestige will send the Customer a Payment Request for the Charges on receipt of the
Event Agreement from the Customer. The Charges must be paid at least 14 clear days before the date of the Function.
Payment
.1
In the event that the Customer does not pay any amount within 7 days of becoming due, Prestige shall be entitled to cancel the
Contract by writing to the Customer. If the Customer has paid a Deposit, Prestige shall be entitled to retain an amount of that
Deposit as a contribution towards any reasonable losses or costs Prestige suffers and could not reasonably avoid as a result of the
cancellation.

If Prestige does not cancel the Contract because of a failure by the Customer to pay any amount due within the time provided for
payment, Prestige shall be entitled to charge interest on that amount daily, at the rate of 3% interest above HSBC Bank plc base
rate, from the date on which payment was due until the actual date of payment.

If the Customer pays any amount by debit or credit card, the card will be charged at the time such payment is made.
.4
If the Customer pays any amount by credit card, a surcharge of [♦]% will be incurred in addition to the Charges.
.5
The Charges and Deposit do not include VAT. VAT shall be added to the Charges and Deposit on the Payment Request and be
payable at the current rate as at the date of the Payment Request.
Cancellation by the Customer
.1
The Customer is entitled to cancel the Contract by sending written notice to Prestige no later than 7 days after the date on which
the Customer sends the Event Agreement to Prestige. If the Customer requests cancellation at a later date then, unless Prestige is
in breach of contract, Prestige has the right to retain all or part of the Deposit as a contribution towards any reasonable losses or
costs Prestige suffers as a result of the cancellation.

If the Customer cancels the Contract more than 7 days after the date on which the Customer sends the Event Agreement to
Prestige and the Customer does not agree to pay a contribution towards any reasonable losses and costs Prestige suffers as a
result of the cancellation, Prestige may be entitled to claim damages in accordance with the general rules of English law.
Cancellation by Prestige
.1
Prestige is entitled to cancel the Contract by sending written notice to the Customer no later than 7 days after the date on which
the Customer sends the Event Agreement to Prestige. In the event of such termination by Prestige, Prestige shall refund in full all
sums paid by the Customer, including any Deposit.

(a)
If Prestige is denied access to provide the Services at the Premises after using its best endeavours to secure access in
advance of the date of the Function and there has been no fault on the part of Prestige which causes such access to
be denied, Prestige shall be entitled to cancel the Contract. In the event of such termination by Prestige, Prestige
shall offer to provide the Services to the Customer on an alternative date, such date to be agreed between the
parties.

(b)
In the event that Prestige and the Customer cannot agree a suitable alternative date on which the Services can be
provided, Prestige shall refund all sums paid by the Customer, but Prestige shall have the right to retain an amount
equal to the reasonable costs that it has incurred and which it could not reasonably avoid in preparing to provide the
Services.
(a)
If Prestige is unable to provide the Services due to circumstances beyond its reasonable control, including
circumstances in which the cooking facilities at the Premises do not work, due to no fault by Prestige, or the race
meeting at which the Services are being provided is cancelled, Prestige shall offer to provide the Services to the
Customer on an alternative date, such date to be agreed between the parties.
In the event that Prestige and the Customer cannot agree a suitable alternative date on which the Services can be
provided, Prestige shall refund in full all sums paid by the Customer.

(b)
Termination
.1
.2
Either party (Terminating Party) may, without prejudice to its other rights or remedies in these terms and conditions, terminate the
Contract by notice in writing to the other if the other:
(a)
commits a serious breach of any of its obligations under the Contract and does not remedy such breach within
30 days of the date on which a written notice has been given to it by the Terminating Party requiring the breach to be
remedied and warning that if the breach is not remedied the Contract may be terminated under this clause 9.1(a);
(b)
becomes bankrupt or insolvent or enters into liquidation or receivership or is the subject of an application for an
administration order or suffers an administrative receiver to be appointed in relation to the whole or any part of its
assets or makes a composition or arrangement with its creditors or suffers any judgement to be executed in relation to
any of its property or assets;
(c)
undergoes or gives to the Terminating Party an unequivocal indication that it is its intention to undertake a change in
the nature of its business such that it (in the case of Prestige) will be unable to provide the Services or (in the case of
Customer) its requirements for the services will be significantly diminished.
On termination of the Contract, Prestige shall refund all sums paid by the Customer, but shall have the right to retain an amount for
any reasonable costs and losses it has suffered and could not reasonably avoid in preparing to provide the Services.
Inability to provide an aspect of the services
If, for any reason beyond Prestige’s reasonable control, Prestige is unable to supply a particular Service specified on either the
Event Agreement or the Function Sheet, Prestige shall notify the Customer as soon as possible. Where reasonably practicable,
Prestige shall replace the particular Service with a Service of at least equal standard and value at no additional cost to the
Customer. Prestige shall agree the details of the replacement Service with the Customer. If it is not reasonably practicable for
Prestige to replace the Service, Prestige shall refund in full all sums paid by the Customer for that particular Service.
Variations
If the Customer wishes to vary the Services detailed on the Event Agreement and the Function Sheet after the Contract is made
with Prestige, a request for that variation must be made in writing to Prestige. Any variations may give rise to an additional cost to
the Customer of a reasonable amount to reflect the difference in the Services to be provided. Prestige shall contact the Customer
to discuss any request for a variation of the Services and to agree any additional Charges that this variation will incur.
Liability

Prestige will accept liability if something done negligently by Prestige or one of its employees:
(a)
causes death or personal injury; and/or
(b)
causes damage or loss to the personal property of the Customer or a Guest.
In order to efficiently process a claim by the Customer or any Guest for compensation for damage or loss caused by Prestige or
one of its employees, Prestige must be notified in writing of the loss or damage and the cost of such loss or damage.

Prestige shall not be liable under any circumstances for any unforeseeable loss, damage or expense suffered or incurred by the
Customer arising from or in any way connected with the provision of the Services by Prestige at the Function.
.4
The Customer shall be responsible for ensuring that the number of Guests attending the Function is notified to Prestige on the
Function Sheet and, in any event, at least [5] days before the date of the Function. Prestige shall not be liable to the Customer or
to any Guest if more Guests attend the Function than are previously notified to Prestige.

Prestige shall not be liable for any inconvenience due to its failure to perform the Services because of factors which could
reasonably be considered to be outside its control, including but not limited to:
(a)
(b)
(c)
any act or omission of any governmental or public authority, including any failure or delay to grant any consent,
exemption or clearance, except if caused by Prestige’s negligence;
any person with the power to deny Prestige access to the Premises to perform the Services exercising such power; and
Acts of God, fire flood, war, lightning, revolution, act of terrorism, riot, civil commotion, failure of power supplies,
shortage of fuel or other goods and services.
save to the extent that Prestige shall refund the Charges to the Customer, less an amount to reflect the reasonable costs incurred
by Prestige in preparing to supply the Services.

Prestige reserves the right to vary the services described in its brochures and on its website, including prices and descriptions. The
brochures are provided for general information only and the information contained in them will not be part of the Contract.
Prestige shall remain liable to the Customer for fraud.
Indemnity
.1
In the event of any legal action being taken by Prestige against the Customer for any breach of the Contract, the Customer shall
be responsible for all costs allowable by the Court if an award is made in Prestige’s favour.
.2
The Customer shall be liable for any loss of or damage to the property at the Premises including, without limitation, where such loss
or damage has been caused by an intentional, reckless or negligent act of the Customer, or any Guest or Act.

Sub-contracting and Assignment
.1
Either party is entitled to assign any of its rights or obligations under an Agreement with the prior written agreement of the other.
This consent shall not be refused without good reason.
.2
If Prestige assigns any of its obligations in providing the Services to another company, Prestige shall ensure that such company is
capable of providing the Services to at least the same standard as Prestige.
Entire Agreement
.1
Neither Prestige nor the Customer can alter these terms and conditions without the prior written agreement of the other.
.2
The Customer must not rely on promises, written or verbally made, by anyone other than Prestige or its authorised representatives.
Waiver
The failure by either Prestige or the Customer to exercise any of the rights that it has in these terms, or there is a delay in such rights
being exercised, shall not be interpreted as a waiver of those rights, or affect the party's ability to enforce those rights at a later
date.
Intellectual Property
All content in or on Prestige’s website and brochures (including pictures, designs, logos and text) (Content) is owned by or licensed
to Prestige. The Content is protected by copyright and other laws and because of this, the Content cannot be used or copied by
anyone other than Prestige.
Details of Future Events
From time to time Prestige would like to send the Customer details of future events and promotions which may be of interest in
accordance with its marketing policy. If the Customer would like to receive this information this must be shown by ticking the
relevant box on the Event Agreement. All personal information held by Prestige shall be held in accordance with all relevant data
protection legislation.
Notices
.1
Any notices, including any request for variation of the Services by the Customer, should be made in writing and sent by post or fax
to the address of the other party shown on the Event Agreement.
.2
Any notice sent by fax shall only be valid when the sender has received a receipt confirming a satisfactory fax transmission.
.3
The Customer is advised to send any notice cancelling the Contract by recorded delivery post.
Third Party Rights
Only the parties to the Contract have the right to enforce any of these terms and conditions, but this does not affect any other
right or remedy of a third party.
Severability
If any of these terms and conditions shall be found by a Court to be invalid, ineffective or unenforceable, the rest of the terms and
conditions shall continue to be valid and enforceable.
Governing Law and Jurisdiction
The Contract and these terms and conditions are governed by Scottish Law and both parties agree to submit to the jurisdiction of
the Scottish Courts.
