JCQ Instructions for Conducting Examinations 1 September 2015 to 31 August 2016 JCQ Adjustments for candidates with disabilities and learning difficulties: Access Arrangements and Reasonable Adjustments 1 September 2015 to 31 August 2016 The use of word processors in GCE and GCSE exams must comply with the References and those regulations take precedence over anything written here. 1. Candidates are allowed to use a word processor in exams if it is “their normal way of working and appropriate to their needs” (Reference B, 5.8.1). Reasons for being permitted a word processor include: a. b. c. d. e. A recognised learning difficulty which affects their ability to write legibly; A medical condition; A physical disability; A sensory impairment; Planning and organisation problems when writing by hand when “the quality of the language significantly improves as a result of using a word processor” (Reference B, 5.8.4). 2. Staff or students who believe a student is eligible to use a word processor in GCE and GCSE exams should contact the SENCO in the first instance. This should be done at the start of the GCSE or A level course or as soon as the difficulties become apparent. 3. The SENCO will determine whether a laptop is a reasonable adjustment in consultation with the Exam Officer (EO) and subject teachers. If it is agreed, the permission will be added to the school’s register of approved access arrangements and shared with teaching staff. Permission to use a laptop in exams will be withdrawn if it ceases to be a student’s normal way of working. 4. Candidates with permission to use a word processor may need or choose to use one only for exams involving extended writing or for portions of exams where this is necessary. 5. All candidates may use word processors for controlled assessment or coursework unless this is prohibited by the specification. 6. A word processor is permitted for foreign language exams. Codes required for special characters will be supplied by the Exam office (See Annex A). 7. The word processors used are Exam Office laptops which are cleared of all software except Notepad. 8. The candidate should also complete personal details sections on the front of the combined question/answer booklet. During the exam the candidate should save the work regularly onto the memory stick supplied. 10. On completion of the exam, the candidate should report to the Exam Office. The EO, or an invigilator, will return the memory stick and the candidate’s answer booklet to the Exam Office. 11. An EO will convert the Notepad file into a Word file, turn the document into 12pt font and double line spacing, add the follow details into the header: a. b. c. Centre number Candidate number Unit/component code and the page number into the footer, save a copy into Y:\Support Staff Departments\Exam Officers\Exams\Laptop scripts and print a copy. 12. The candidate should check the printed copy for completeness, initial each page and sign the end to indicate that the script has been checked. The candidate should inform the EO if the answer booklet has been used. 13. The EO will complete the cover sheet (JCQ Form 4), checking to see if the answer booklet has been used, attach it securely to the word processed script and answer paper (if used). 14. The script will be dispatched as usual in accordance with Reference A.
