Area forum and meeting report attached . New sponsorship agreement signed up with Palmers Plimmerton for Wellington/Wairarapa Area Dressage competition replacing the old Williams Gardenworld . The competition is renamed Palmers Plimmerton Dressage competition. The trophy will be rededicated but still acknowledge the old sponsors who donated the platter. RH to locate the whereabouts of the trophy which was won by Wellington last year. KM will order and Palmers Plimmerton will purchase the ribbons. The event is being organised by WPC at Trentham Memorial Park on Sunday 15 th November. A food stand will by also be provided and Eloise will look into supplying BBQ. Pre‐event training will be provided by WPC – and funding dependent on outcome of grant application. Treasurer’s Report – report attached ‐Mark Shepherd emphasized that any correspondence that involves money please also be sent/copied to him so that he is kept updated. ‐There is no further development regarding the accounts for the end of last year. The glitch around the closing of the old bank account has been sorted – some of the unpresented cheques could not be paid. ‐Payment of levies has been made to Area. ‐An invoice is yet to come from PEC Pauatahanui Equestrian Club for arena fees that were paid by riders to WPC for the Leigh Taylor show hunter clinic. ‐Show hunter Champs team entry fee has been paid. Team members will receive a spreadsheet indicating what they owe WPC for meals/caps/programmes etc – as WPC have paid for these together with the entry fee of $450. ‐A request was received for refund of one SH nomination fee. This was short of the 14 day limit stated by the Omnibus, but due to circumstances and closeness of closing date/trial date refund was approved by majority. 14‐day limit stated in Omnibus needs to be revisited MS . ‐Mark needs an invoice from Gail Goodwin for the coaching on Sunday 13 th September, and there needs to be a conversation with Rebecca Scott manager and Gail regarding the coaching quote, so that all riders team of 8 plus 3 reserves get their coaching. Grants Rachel Harding has put in an application to Lion Foundation for pre‐event coaching for dressage, eventing, show jumping and games. The processing time of 8 weeks is a bit short for PP Dressage trial, but could cover training before the event. ‐There is still time to look at Bruce Forbes Teams Event and Cambridge show jumping training with another funding body eg. Four Winds. ‐ WW Area is keen to coordinate a database of who is applying for which grant so that Clubs are informed. RH to cc Khirsty Fleming regarding applications. Chief Coach Report Helen Schofield was not at the meeting. ‐ She requires a list of branches’ rally dates for the season and a spreadsheet of rider/member details. Reps are to ask their head coaches/ database administrators or secretaries to send this info through. W.P.C Camp Sherrie McIntyre from Onslow Pony Club was keen to look into possibilities of holding a WPC camp, but does not want to organise it. She had found a venue at Kyrewood Equestrian Centre, but there is apparently no rider accommodation there. Riders would have to stay in tents. She had no information regarding dates or organisers. All delegates agreed with the suggestion that this is too hard and too much work to organise for this season. There is still the option of the HV/Wairarapa Camp, which is also looking for an organiser. Battle Hill attached ‐ New eventing rules have been adopted. ‐ There is a working B scheduled for…. ‐ A new kitchen and appliances are being installed. ‐ ODE plans are underway. ‐ MOU between PPC and BHE – still to be signed. Eloise said that the second to final draft has been discussed and handed to Meg Wheatstone and PPC are awaiting a response. KM to ask Meg on progress. Meg has left urgently for Canada due to family illness Team Competitions Show Hunter – Rachael S’s report from 2 selectors is attached. Dressage – Renee Waihi and Margot Wrightson have both given quotes and both may have to be asked to provide coaching to cover all the riders over 1 or 2 weekends. PPD trial will be held on Monday 26th October at the Onslow Dressage Day to minimize time and effort. Delegates are to advise their members of the trial date and there is a new closing date. MS moved that the nominations date be brought forward to Monday 12 th October to stay in line with requirements. Omnibus to be updated accordingly. KM proposed that the trial tests be 0.C for juniors and 1.B for seniors at the Onslow Dressage Day seeing programme is already set and there are no NZPCA tests at this event . The tests are at the level required for the competition. Unanimously approved. Kath and Rachel will sort this out with the organisers. General Business ‐ Makara Pony club Gymkhana date has been confirmed with BH, but Anne Neal asked if MPC could use WPC competition day for the event. Unanimously approved by those present. ‐ WPC would like clarification from BHE inc as to how many competition days are allocated to WPC. ‐ Dates suggested by BH for training days: Saturday 19 December, Monday 28 th December, Saturday/Sunday 2nd /3rd January, with other available dates being the first and last weekends in February and 19 th/20th March.
