1. What are the steps and the timeline of the selection process? (i.e., Committee review, narrow to top 3 finalists, demo software, decision date, etc.) a. At this time the selection process is as follows: i. Once bids are received, they will be reviewed by leadership. ii. A short list of finalists will be invited to bid review meeting. iii. Bid Meetings with product demonstrations covering system areas and capabilities mentioned in the RFP. iv. Final Bid scoring and recommendation to BOD for HRIS selection. b. The timeline of this process is flexible and depends on (but is not limited to the following) i. product capabilities ii. interconnectivity with other existing products (Laserfiche) iii. Ability to integrate or replace scheduling software (crew scheduler). iv. Internal bandwidth (may vary depending on vendor training/implementation/migration support.) 2. What is MCHD’s desired go-live date (or go-live timeframe) with the selected provider? a. 6-12 months 3. Please provide a list, ranking the areas of system functionality required, most important first to the least important. (i.e., Payroll, HR, Time Collection, Benefits, etc.) a. Areas mentioned in RFP are important. However, vendor of choice must have Payroll and payroll support, as this is the system that will be replaced. 4. Who is the current Payroll/HRIS provider and system(s)? a. Paychex 5. If MCHD requests a solution demonstration from _______, will we be able to ask questions concerning the main areas of interest so that the demonstration time will be as efficient and effective as possible? a. Yes. All finalists will be given instructions on what the demo should entail. 6. Which vendors have received the RFP or have elected to participate in the RFP to-date? i. This information will be held until after an award has been made so as to promote fair competition among interested parties. Section II #3 – Project personnel are not assigned to an account until a contract is awarded to ______, so we will be unable to provide detailed experience of project personnel during the RFP phase. We can, however, provide examples of the level of experience for specific roles. Will this be sufficient during the RFP phase or will it knock us out of consideration? Yes. This is sufficient. #4 - ______ recognizes the need and importance for customer reference calls and, in some cases, site visits. Due to the high demand for reference requests, and out of respect to our customers’ time, we provide references after all evaluation criteria (i.e. price, technical, demo, etc.) has been presented, _______ is a finalist or vendor of choice in an evaluation and the prospective customer is requesting the reference call(s) and/or visits as the Final Step in their evaluation process. Will MCHD accept this criteria? Yes. This is acceptable. #6 Cost Proposal – Are you requesting ballpark pricing or a detailed pricing proposal for the services outlined in this section? • We are requesting detailed pricing broken out by function. (example: payroll only cost, scheduling component included, etc…) • Costs must also include implementation and ongoing maintenance and upgrades, if applicable.
