Main Responsibilities Support the development of a strong and vibrant circus community in Cardiff. Reception is one of the most important points of contact with the company. All reception staff have an absolute responsibility to ensure their behaviour reflects the company’s core values: friendly; open; inclusive; reliable; trustworthy. Front of house and general reception duties include: • Ensuring that customers and class attendees feel welcom and treated with respect and courtesy • Ensuring that the telephone and emails are answered in a friendly, polite and professional manner, and that all messages are passed on promptly and accurately • Making sure that our buildings are physically welcoming, safe and clean, and all ongoing maintenance and repairs are undertaken promptly • Maintaining good standards of security at our buildings • Ensuring all fire exits are kept clear, all fire doors and emergency exit and lighting systems are fully functioning, and carrying out regular emergency system testing Reception is also responsible for: • Providing First Aid when necessary • Ensuring that adequate First Aid and welfare supplies are maintained • Maintaining the First Aid rota and logging accident reports • Ensuring that all staff (including teachers, workshop leaders, and project managers) are aware of first aid systems Support the delivery of creative and learning programmes within our Cardiff base. Reception is responsible for: • Maintaining all databases relating to the community class programme • Maintaining accurate records of class attendees’ contact details and health and medical needs • Booking participants onto community classes and maintaining all paperwork relating to the evening programme, including schedules and briefs • Providing, where necessary, all building users with a building induction and guided tour • Ensure that data protection regulations are adhered to at all times Support the effective working of the company’s core staff and infrastructure. Reception is responsible for: • Distributing post around our offices and taking all post to the post box • Maintaining all office and administrative supplies (stationery / postage etc) • Ensuring that all key administrative resources (printers / copiers / franking machines, etc) are always in good working order and have all necessary supplies • Attending weekly meetings, communicating all building and diary issues to all other core staff Support the company’s core financial sustainability. Reception is responsible for: • Maintaining accurate financial and stock records for all merchandise sold • Maintaining accurate financial records for all classes and training • Ensuring that all credit card records are maintained in accordance with data protection regulations • Ensuring that all cash received is recorded, kept safe and secure and transferred to the main finance office • Ensuring that all financial information is accurately transferred to the finance officer • Upselling other NoFit State activities to users • Achieving best value for money in all relevant areas of expenditure Company Culture The Reception team will need to support the development of a strong and effective working culture within the company through: • Creating a strong culture of respect in which beneficiaries are actively listened to and suggestions and concerns welcomed and acted upon • Ensuring that everyone is always thanked for their support and contribution and understands how important they are to us, and delivering on commitments and promises • Developing robust forward planning rather than relying on crisis management • • • Ensuring clear and effective and timely practical decision making and communication of decisions Ensuring a united front in which all core staff actively demonstrate respect and support for each other both internally and in front of all external people and partners A positive working culture in which everyone actively listens and makes decisions and come to conclusions on the basis of evidence and fact rather than assumption or partial knowledge, which focuses on problem solving and actively supporting all other staff to succeed This is a guide to the nature of the work required of the Receptionist. It is not wholly comprehensive or restrictive and may be reviewed with the post holder and the line manager from time to time. Position in the Company The Receptionist will be line managed by the Reception and Facilities Manager The Receptionist will play a vital role within our small team of Receptionists. The Receptionist will both staff the reception on their own for periods of time and undertake tasks as directed by the Reception and Facilities Manager. The contract will initially be offered for 12 months (following a 3 month trial period) with a view to creating a permanent position. The post holder will be expected to work an average of 21 hours per week (variable between 16 to 32 hours) on a shift system with hours defined by the line manager.
