Electronically Submitting with the Grades Tool

Electronically Submitting Grades Using an Exported File from the Grades Tool in T-­‐Square OIT has now made it possible to use the exported grades file (with some modification) with the OSCAR option of “Upload Your Grades From a File.” OIT has modified the program to accept the GT Account Name that T-­‐Square uses to identify students or the GT Number that other systems use. There are three parts to this process. Part One export the Grades data to Excel or other spread sheet program. This must be done for each section in a multi-­‐sectioned or cross-­‐listed course. Part Two edit the exported file to the three columns and format that OSCAR will accept. Detailed instructions follow. Part Three Login to OSCAR and use the “Upload Your Grades From a File” option on the Faculty Services page. Part One – Export with the Grades Tool (All student and course identifiers have been hidden.) 1. Login into T-­‐Square and navigate to your course
2. Click on “Grades”
3. Click on “More Actions”
4. Select “Export” > “Only Grades” > and then which format you prefer (CSV or Excel). See Figure #1.

Part Two – Edit the exported file in Excel or other spreadsheet program. 1. Open Excel and then the exported file from T-­‐Square.
This will show all the graded columns in your grade boo, plus the GT Account Name, the Student
Name columns, and the Course Grade Column.

3. Copy the “Course Grade” column into column 4 (d) of the spreadsheet.
4. On the second row third column enter the following formula in that cell =LEFT(d2,1) . This
separates the letter grade from the numbers. See Figure #3.

5. Copy this formula for every student. All students should be showing only a letter grade in the third
column (untitled at the moment).
6. Highlight all the cells in this column and click “Copy”
7. Without moving (the same cells are still highlighted) select “Paste Special” (right click or from the
Edit menu).
8. Choose to paste only the “Values” and click “OK.”

In Figure #4 you can see the formula for pulling out the first character from column 4 (D), the highlighted and copied part of Column C, the right click option to “Paste Special”. Not shown are the screen to choose “Values” for Paste Special, and the OK button. 9. Delete the fourth column. This the one that shows letter grade and percent.
10. Title the third column “Course Grades” if it isn’t already.
11. Save as a “tab-­‐delimited text” file.
Part Three – Login to OSCAR and use the “Upload Your Grades From a File” option. 1.

5. Click “Upload Your Grades From a File” (third option from the bottom).
6. Follow the prompts within OSCAR from this point on.
