Riderwood Catering Policies Terms and Conditions
The Riderwood Dining Services Department provides all Riderwood Catering services. No outside caterers will be
approved for any events on premise, except for pre-determined employee events, i.e., employee picnic.
Room Reservations
Room reservations for banquet space and meeting rooms should be made two weeks prior to the event date. Please contact
the Riderwood Catering Department to reserve your room. At that time you should also make arrangements for special
room set-ups, or equipment needs. All external functions are required to make a non-refundable room deposit upon
reserving the room.
Reservation Fees
The room rentals are based on a 4 hour time period. Each additional hour added beyond 4 hours will be a n additional
charge. The room charge includes set-up and break down.

AV Equipment
The AV Equipment rentals are based on a 4 hour time period. Each additional hour added beyond 4 hours will be a
charge. No Non-Erickson laptops/computers are permitted on our Network for security reasons. Flash Drives and CD‘s
are acceptable.

Minimum Reservation Deadlines
Catering requires a four week notice for most Catering functions. Any requests for catering services with less notice will
be evaluated based on current catering schedule, supplies on hand, and may require additional fees.
Service Fee
A 20% service fee will be added for all events, plus a 6% Maryland Sale Tax and a 9% Maryland Sale Tax on
Alcoholic Beverages.
Children Pricing
Children ages 4 and under are free
Children ages 5-10 are ½ prices
Children ages 11 and up are full price
Guarantee
A guaranteed attendance for all banquets, dinners, luncheons, breakfasts and receptions must be submitted no later than
fourteen business days prior to the event. This number will be considered a guarantee and cannot be reduced. It is the
client’s responsibility to call the Riderwood Catering Department with this guarantee. If a guarantee
is not given to the Riderwood Catering Department, the most recent estimate number will be used as the guarantee.
We will prepare food for 5% over the guarantee count. If the actual number of guest exceeds the guarantee, you will
be charged for the additional number of guests.
Contract and Deposits
When you reserve your room you will be required to make a nonnon-refundable deposit of $600.00 for the Maryland
Maryland Hall,
$300 for the Chapel and $250 for the Chesapeake Room & Celebrations Room.
Room
Thereafter, you will be asked to set up a meeting with the Catering Manager and/or Events Coordinator to discuss all
details of your event, and you will be asked to sign your contract. Residents planning and paying for an event are not
required to make a deposit. A minimum charge of $30.00 for food and/or beverage is required.
Cancellations
All cancellations of any catering function must be received in writing at least (14)
14) fourteen business days prior to the
event. No exceptions will be made due to food ordering, production and scheduling of staff. Any unrecoverable charges
will be billed at cost plus 25%.

The menus in our package are suggested selections. We would be pleased to customize menus to suit any taste and
occasion.
All food and beverage served in any of the banquet halls are to be provided by Riderwood.
Banquet prices are subject to change without notice. Prices for food and beverage will be guaranteed three months prior to
the event.
For the Safety of Our Guests
Customers will not be permitted to bring food or alcohol into food and alcohol licensed areas of Riderwood’s Campus. An
exception will be made for birthday, anniversary and wedding cakes.
Additionally, Riderwood prohibits the removal of food and beverages from the event by the client or any of the clients’
guests.
We are required by law to ask for legal identification of our guests, when age is in question, prior to serving
alcohol to the individuals. The bartenders reserve the right not to serve intoxicated guests.
Method of Payment
Methods of Payment accepted are: cash, Visa, MasterCard, Discover credit cards, business checks, personal checks, and/or
money orders . However, personal checks must be received at least fourteen business days prior to the function date. There
is a $30.00 fee all returned checks.
All non-departmental charges are subject to a state tax, unless a copy of the tax-exemption certificate has been
provided, prior to the scheduled event. Final payment is due (14) fourteen business days prior to the event when the
final count is given. If final payment is not received fourteen days prior to the event, Riderwood holds the right to cancel
the event. There will be a 10% fee added to the total bill each day payment is late.
Bar Billing Information
Parties having a consumption bar or who exceed the guarantee guest count must pay at the end of the event by check or
cash.
Services
Cake Cutting, Flowers, special linens, ice-sculptures, and props may be coordinated through the Catering
Department for an additional charge.
You may request the following table decorations from the Catering Department:

Decorations
All Candles used must be in enclosed containers. Any decorations or signs may be displayed with supporting equipment.
Use of tacks, staples, nails, tapes or anything that could mark the walls is not permitted.
Any use of smoke, fog or dry use will trigger the fire alarm. It is the clients responsibility to provide Riderwood with
advance notice of any smoke being used to conduct a ceremony. Failing to inform the Event Coordinator & activating the
fire alarm system is an offence that will result in a $1000 charge to the group.
We request that no confetti be used on Riderwood premises. A clean up charge of $250 will apply if confetti is used.
Transportation
Parties over 50 are recommended to reserve Transportation. Please note that there is an additional fee for private shuttle
service.
