Investigations and Resolutions Junior Associate Contract (one-year contract) The College of Occupational Therapists of Ontario is seeking a full-time Investigations & Resolutions (I&R) Junior Associate for a 12-month temporary assignment. This role will report to the Investigations and Resolutions Manager. The College of Occupational Therapists of Ontario is the regulatory body for occupational therapists (OTs) in Ontario. We work to protect the public by setting standards and developing programs that support safe, professional and effective practice by OTs. We also investigate inquiries, complaints, and reports from the public about our registrants. This role will provide support to the I&R Program of the College. This role is responsible for many aspects of case management, from intake to disposition, for the following Committees: Inquiries, Complaints and Reports Committee (ICRC), Fitness to Practise (FTP) Committee and the Discipline Committee (DC). The I&R Junior Associate will provide administrative support for all three Committees. The I&R Junior Associate is responsible for routine correspondence and documentation, as well as all preliminary complaints inquiries and case status updates related to the I&R Program. Under the guidance of the Manager, I&R, the I&R Junior Associate will provide support to Subcommittees and Working Groups when required. KEY FUNCTIONS AND RESPONSIBILITIES: PROGRAM SUPPORT & CASE MANAGEMENT Supports the implementation of Investigations & Resolutions (I&R) processes in the public interest. At the direction of the Manager: • • • • • • Acts as first point of contact for complaints, reports, and inquiries concerning Investigations and Resolutions matters. Responds to all routine mail, telephone, fax and email inquiries from the public and registrants about complaints, reports, and inquiries as well as all inquiries about Discipline and Fitness to Practise proceedings. Supports the program and College data collection processes, ensuring accurate, timely data entry and audit, in compliance with regulations, standards and guidelines. As a member of the I&R team, builds and maintains cooperative working relationships with internal colleagues and external stakeholders, and ensures the appropriate flow of timely, accurate information. Processes and drafts all correspondence and documents in a timely manner. Supports all aspects of case file management from intake to disposition. COMMITTEE, SUBCOMMITTTEE AND WORKING GROUP SUPPORT Provides administrative support for the Inquiries, Complaints and Reports Committee (ICRC), Discipline Committee and Fitness to Practise Committee, as well as panels of those three Committees, subcommittees and working groups as needed. At the direction of the Manager: • Conducts all routine communication with members of the ICRC, Discipline Committee and Fitness to Practise Committee. • Assists with mailings, including meeting materials, correspondence and orientation materials. • Assists with the set-up of activities for all meetings and teleconferences. • Provides administrative support to assigned committees and assists with monitoring and compliance directives for assigned committees. • Provides support to witnesses as directed by the Manager I&R. TEAMWORK AND COLLABORATION Supports program and College colleagues to achieve program and College goals and objectives. Accountabilities include: • • Participates in College activities and duties as needed. Provides general assistance to the College staff members when requested, or as needed. REQUIRED EDUCATION/EXPERIENCE: • • A College diploma in business, health or a related field; Experience in administrative support desired. Ability to set priorities and organize work effectively to meet deadlines. Ability to quickly and accurately proofread documents. Data entry skills with demonstrated speed and accuracy. Advanced computer knowledge, including MS Word, database management, and document management systems. Page 2 PREFERRED EDUCATION/SKILLS: • • • • Previous experience supporting boards, councils and/or committees. Previous experience with not-for-profit organizations. Familiarity with sophisticated database management and document management software Fluency in French is an asset.
