APPOINTMENT AS HAZARDOUS CHEMICAL SUBSTANCES CO-ORDINATOR

having been appointed in terms of Section 16 (2) of the Occupational Health and Safety Act (85 of
1993) to ensure full compliance with the Act, hereby appoint you as Hazardous Chemical Substances
Co-ordinator.
Your duties as the Hazardous Chemical Substances Co-ordinator are the following:
1.
Keep an updated alphabetical list of all hazardous chemical substances. This list must contain the following
information:
- All HCS used on the premises as well as all process air contaminants such as dusts, fumes, etc.
- Product name and the active ingredient of the substance.
- Classification of the HCS as per SABS 0228 (Class and Danger group).
- Indicate if the HCS is listed in table 1, 2 or 3 of the HCS Regulations.
- If the HCS is listed in table 1 or 2 of the HCSR the OEL must be indicated on the list.
- Indicate the approximate number of employees exposed to the HCS.
- Indicate the approximate time employees are exposed to the substance.
- Indicate the risk level of the HCS in terms of: low, medium or high.
2. Cause an assessment of potential exposure to be conducted, that assesses all HCS’s used as required by
HCSR5.
3. If the substance is listed in table 3 of the HCSR, ensure that biological monitoring as prescribed by the
HCSR is conducted on all employees exposed to the substance, as indicated by the assessment.
4. Make arrangements for regular monitoring of all HCS listed in the tables of the HCSR by a competent
person with calibrated instruments, according to the requirements of the assessment.
5. Review the alphabetical list on a quarterly basis by completing the quarterly review form.
6. Obtain the required hazard information (MSDS) {Annexure 1 to GAR 7 (1)} for all identified hazardous
chemical substances from the supplier or manufacturer of the product.
7. Exercise control over the safe storing, labelling, issue and handling of all hazardous chemical substances as
per the above list.
8. Ensure that all hazardous chemical containers are safely disposed of if not returned to the supplier.
9. Inform all the employees exposed to HCS of the danger to their safety and health with regard to exposure to
the HCS.
10. Train all the employees exposed to HCS with regard to the precautionary measures and use of PPE when
they handle or are exposed to HCS.
11. Without derogating from the above, ensure that all the provisions of the HCSR are complied with.
This appointment will become effective on the date of acceptance thereof and will be for a period of 3
years.
