2013 MARKET INFORMATION, POLICIES and GUIDELINES GOVERNANCE The Bartlett Station Farmers Market is governed by a Market Advisory Board, consisting of members from the City of Bartlett, the Bartlett Station Commission, the Bartlett Area Chamber of Commerce, and the Bartlett Chamber Foundation. The Market Manager is an advisor to the Board. MARKET MISSION The Bartlett Station Farmers Market provides the community access to farm-fresh produce and locally produced value-added products, while providing local farmers and producers a directmarketing opportunity. Through personal interactions and nutrition education, this market strives to improve the overall quality of life for the community. MARKET VISION The Bartlett Station Farmers Market is a vibrant part of the Bartlett community. Through the planned weekly programs, recipe exchanges, new personal connections, and the fine quality of vendor offerings, the Market is growing into the premiere gathering place for the community. MARKET GOAL The goal of the Bartlett Station Farmers Market is threefold: Increase the overall health of the community by offering education on healthy lifestyle choices and providing the opportunity to start healthy practices with available produce, Support local, family farms and producers by offering them the opportunity to increase their customer base and develop sustainable partnerships, and Increase community spirit by offering residents a welcoming gathering spot and a resource for information on the variety of retail products and services available in Bartlett Station. www.bartlettstationfarmersmarket.org [email protected] Page 1 of 3 GENERAL POLICIES All residents, volunteers and vendors are welcome at our Market, regardless of race, ethnicity, gender, religion, sexual orientation, identity, age, or disability. Volunteers will be sought from civic organizations, service groups, sponsoring entities, and other groups who share the values of the Market. Volunteers will wear the BSFM tags to identify them as part of Market staff during operating hours. Volunteers will participate in operating the various programs offered each week, stand in for vendors who need very short breaks, assist residents in carrying large items, and assist Market Manager with watching for possible problems. Because approximately a third of our customers are older, special attention will be paid to this demographic during extreme weather and volunteers will offer their assistance with carrying things often. The Society of St. Andrew will be allowed to contact vendors on-site, to participate in their Gleaning Program. Vendors will be asked to report revenue each week to the Market Manager for tracking in grant reports and for reporting of success to the Advisory Board. The Market staff, vendors and Advisory Board will work together to create a financially selfsustaining program, seeking funding from same-values organizations, company sponsors, private donations, and government grants. The Market is operated under the Bartlett Chamber Foundation’s 501(c)3 tax-exempt classification. All donations to the Market are tax deductible. Market finances will be closely monitored. Reimbursement requests must be accompanied by a receipt or invoice. Any amount over stated budget must be approved by the Advisory Committee. Market Boundaries is defined as from the barriers at each end of the midway to the backs of the lines of vendor tents. If a special program is held, the area used will also be considered to be within boundaries. Pets must be leashed or suitably detained while within market boundaries. NO SMOKING is permitted within market boundaries. Notices will be posted throughout the market. Market staff will gently ask smokers to dispose of lit smoking materials. The Market Manager will be notified if there is any difficulties This market is a “rain or shine” market. In case of severe weather, the Market Manager will make the decision to close the market for the day or temporarily. If the market is closed for severe weather, everyone in the area should seek suitable shelter. www.bartlettstationfarmersmarket.org [email protected] Page 2 of 3 When the predicted heat index is expected to be above 95°, a cooling tent will be set up in the first position opposite the information tent, closest to the electrical receptacles. Fans, chairs and water will be available. Park trash receptacles will be placed at each end of the midway. Park trash receptacles are for customer use or light trash only. Agricultural waste and broken down boxes should be hauled away and recycled if possible. Vendors are responsible for policing their areas for trash upon tear down. The Market will attempt to recycle as much material as possible. A box labeled “Recycle” will be placed in the market midway. The Market Manager, or designee, will transport material to the Bartlett Recycle Center. Boxes must be broken down. Any incident of theft will be reported to the BPD immediately. F or the safety of our customers and vendors, tents shall be secured. The method suggested is a cement- or sand-filled plastic container tied to the upper tent frame at each leg, or as a minimum, at two corners. Place weights close to the tent leg and avoid using something that is rough or may scratch our customers’ legs. Weights and lines should be highly visible. Broken tent frames will not be allowed. If a tent breaks during a market day, it must be repaired to full function or replaced before the next market day. Injuries to vendors or customers should be reported to the Market Manager immediately. Minor First Aid will be available during market hours. A person certified in CPR will also be available during market hours. In case of an emergency, DIAL 911 immediately and send someone to notify the Market Manager. Follow the instructions of the 911 Dispatcher until relieved of responsibility. A fire extinguisher will be available at the Market Information Booth. Do NOT attempt to fight a fire if the possibility of bodily injury exists. DIAL 911 immediately and send someone to notify the Market Manager.
