COMPANY OVERVIEW
The Forum is managed by The Forum Trust, an independent, self-financing charity. We have a broad brief
which emphasises lifelong learning, and includes celebrating technology, discovery, history, heritage,
creativity and culture.
We are responsible for the main Forum building, 2 Millennium Plain, and the outside spaces in front of The
Forum. We manage a large underground car park, and are landlords to a range of tenants including BBC
East and Radio Norfolk, Pizza Express and Café Bar Marzano, the Tourist Information Centre and the
Millennium Library.
This business model enables the Trust to support the management and maintenance of the building, and
provides an opportunity to create and deliver a diverse and varied programme of community events and
activities, most of them free of charge, for people of all ages to enjoy.
Recent projects and partnership events include: the Edith Cavell Centenary commemorations, the
GoGoDragons! Schools’ Project, Run Norwich, Makers’ Month, the Norwich Gaming Festival and Heritage
Open Days.
We could not achieve any of that on our own and the popularity of The Forum is the result of working with a
wide range of partners.

The Forum has a team of approximately 30 permanent staff, and we also employ a team of casual staff to
help us deliver events and public activities.
JOB DESCRIPTION
POST: EVENT PRODUCER – Norwich Science Festival
This is a Fixed Term Contract for 15 – 22.5 hours per week for 8 months to run to November 2017.
Following the overwhelming success of the first, city-wide Norwich Science Festival in October 2016, we have
made a commitment, working with a range of partner organisations, to deliver two further Science Festivals in
2017 and 2018. Whilst this post is Fixed Term until November 2017, there is a possibility of a further
extension of one year, to November 2018, subject to approval.
Key Activities:
Reporting to the Head of Public Facing Activity, you will work with our partners to create and deliver a
compelling, high quality, 2017 Norwich Science Festival at The Forum and at other venues around the city.
Communication
 Act as the main point of contact for all aspects of the Science Festival.
 Ensure all Festival activity is communicated effectively and recorded in a timely and accurate manner,
ensuring the flow of information to colleagues.
 Support and maximise opportunities for timely and effective marketing and communications activity
including the Festival website, social media, and PR.
 Promote a positive view of The Forum, its tenants and The Forum Trust. Act as spokesperson for the
Science Festival in media interviews.
 Work with the Marketing Communications team and Steering Committee to build and strengthen the
Norwich Science Festival brand, seeking opportunities to engage across the community to establish the
Festival as an annual event.
Development
 Work with The Forum team and Science Festival Steering Committee to develop a three to five year
strategy for the Norwich Science Festival and secure buy in from partners.
 Explore opportunities for audience development, working with partners, sponsors and stakeholders to
ensure the Festival reaches a wide audience.
 Support and work with members of The Forum team to identify and pursue appropriate sponsorship or
funding, help put together appropriate supporting materials and be responsible for ensuring the delivery
of activities in accordance with any funding terms and conditions and reporting requirements.
 Identify and secure exciting and fresh content; shows, talks, performances, interactive events and
exhibitions, to ensure the Festival offers a varied, inspiring and innovative programme.
 Seek and progress opportunities to develop the Science Festival, working with partners, sponsors,
contributors and internal team members as appropriate.
 Build on the existing, or create new project planning systems and create a good practice guide to help
with the creation and delivery of future events at The Forum.
Event Management
 Deliver a high quality, varied programme of Science activities at The Forum, and other venues across the
city.
 Lead from the front, be available and ensure the event runs smoothly, working alongside both staff and
volunteers.
 Respond quickly and effectively to Festival related queries from various partners, team members and
other Festival parties.
 Lead the team delivering the Festival, working with Marketing, Learning, Events and any other relevant
teams, external partner organisations and individuals to ensure the event is delivered to a high standard,
adhering to appropriate safety standards.
 Manage and be responsible for the evaluation of the Science Festival, and all individual elements, and
assess and review against the original aims and objectives for the event.

 Undertake such other duties as requested, assigned and delegated, commensurate with the skills and
competence of the appointed person and the level of salary paid and which are at a broadly similar level
of responsibility.

equivalent.
Project management
qualification.
Experience
Project managing large events, with multiple
partners.
Experience of identifying and harnessing the
expertise of others to create a major event in
partnership with a variety of specialists.
Enthusiasm and knowledge of
areas that make up the Festival;
Science, Technology,
Engineering Maths and
associated disciplines.
Working knowledge of Health, Safety,
Emergency procedures and risk
assessments associated with large events.
Experience or background in
science sector, or scientific
research.
Knowledge of managing a budget.
Skills
Understanding of planning requirements in
respect of venue hire and delivery of events.
Excellent communication skills, written and
verbal.
Excellent time management skills. Able to
work under pressure to tight deadlines,
creatively solving problems with the ability to
remain calm at all times.
Effective team leadership with good
organisation and motivation skills.
Actively support colleagues and deal with any

MAIN TERMS AND CONDITIONS
Detailed below are the main terms and conditions of employment:
Hours
Your hours of work will be 15 - 22.5 hours per week and there is flexibility in terms of your working hours/days
which can be agreed with your line manager. Core office hours are 9am to 5.30pm, Monday to Friday, but
with The Forum open seven days a week, and the nature of this role as an Events Producer, you will on
occasions be expected to work evenings and weekends. This might be as part of a rota of duty managers, or
as part of an event you are involved in; or on other occasions in line with the company’s business needs.
Appropriate time off in lieu can be arranged with your line manager.
Payment of Salary
Monthly Bank Transfer on the 20th of each month.
Annual Leave
Leave allowance is 25 days per annum pro rata plus bank and public holidays.
Pension Arrangements
The Forum Trust will make a contribution of up to 5% of salary matched by an employee contribution, once
the probation period has been successfully completed.
Probation
There is a three-month probationary period for all new starters.
