2017 eBudde Online Training notes

Hi this is Anna Jarrett, I am here to present today’s eBudde Online Training.
You will notice on the top right on most slides I have a page number referencing the
Cookie Manual that you will receive once you view the Mandatory training and fill out
the Training Confirmation form.

eBudde is the all in one place to run your Cookie Program.
Your email address is used to gain access to eBudde. The login screen also allows you
to update your information including changing your email address, password, security
questions and personal information. We will do weekly uploads into eBudde of
registered girls and adults.
Please note in order for a troop to be added into eBudde, there must be an adult
volunteer that has been registered as the Leader and/or Cookie Chair.
After the initial login if you forget your password, you can click the fourth bullet link to
reset your password via two options. One option is to have the system email you a
temporary password. The other option is to answer your security questions and reset
your own password.
eBudde will be open December 7, 2016.
The eBudde system has been tested on many web browsers and the approved browsers
are as listed here.

The default password is Dosi@2447 and must be used the first time you login for this
year. This is for everyone, even if you have used the system before. Once you use this
password you will be directed to a new screen where you will be asked 3 security
questions and next you will add your name and contact information and create your
own password.
Passwords must be 8 characters minimum, have at least one capital and one nonalphabetic character.

The eBudde Help Center is a great tool to help you navigate and answer any eBudde
questions you may have. Once you login, this tab can be found on the far right side.
Along with the Help Center, we have an eBudde manual created specifically for GSNI.
This manual will be emailed out to all troops mid December to help you navigate the
system.

On your Settings tab in eBudde, you can enter or confirm your banking information. We
will be carrying over previous year’s banking information. For returning troops please
go in and verify the information is correct. If you are a new troop, you will have to enter
this information. Click on the Edit button and enter the bank name, account number
and routing number for your troop’s bank account no later than January 30. Click the
Update at the bottom once all edits have been made.
Once entered, bank numbers are x’d out except the last 4 digits for security purposes.
On this tab you can also add your troop goal and opt-out of rewards ONLY if you have
an older girl troop. Older girl troops are defined as Cadettes, Seniors and Ambassadors
and page 15 of the troop manual provides more information to help troops make this
important decision.

On your Girls tab, you will see all the girls registered in your troop. If there are any girls
missing from this please double check with the parent to be sure she is registered.
Once the parent verifies her registration, you may contact Customer Care at 1-844GSNI4ME to find out why she is not listed under your troop.
We do weekly uploads into eBudde, these will typically be completed on Monday
evenings. The girl name will be added along with her ID and her grade level. You can
add her Sales goal on this tab and select her t-shirt size.
If a girl is transferred out of your troop, her name will remain on this tab but will be in
red with a notation that she was moved to a different troop as shown here. A moved
girl in red will not affect your troop’s PGA.

The Initial order tab is where you will enter girls’ initial orders by the deadline of
Monday, January 30 at 11:59pm.
These orders should include the girl’s traditional order cards and any Girl Delivery
Digital Cookie orders.
Be sure to double check the totals listed on each girl’s order card for accuracy.
To enter, click on the girl’s name and on the bottom of the screen her name and boxes
will appear. In these boxes you will enter the total quantities needed for each cookie
variety.
After you have entered her totals be sure to Click OK on the right side and then hit Save
at the top.
You may make as many edits as you need, but DO NOT click on the orange Submit
Order button until you are completely done entering and editing each girl.
To guarantee you will have the S’mores and Toffee cookie for your booth sales, you may
add quantities to the Booth line on this tab. Once these cookies are sold you can
allocate them to the appropriate girl.

If your Service Unit uses the scheduling feature in eBudde, you will use the Delivery tab
to schedule a time to pick up your troop’s initial order.
This tab will be open on Friday, February 3 at 9am and will be closed Monday, February
6 at 11:59pm.
You’ll be prompted to answer two questions.
The first prompt will be- Who is picking up your cookies? You can select either:
Someone from my Troop or Some other troop and add their troop number.
The second prompt will be: Will you be picking up for more than one troop? If yes is
checked, then you will need to add that troop number.
Your Service Units delivery station date and time will be automatically added to this
tab. All you need to do is select your preferred time window. Typically the time
windows are between 5 and 15 minutes depending on what parameters your Service
Unit has set. Depending on the size of your order, eBudde may automatically fill in
more than one time slot or not allow you to pick a specific time if a consecutive time is
not available. If you need more than one time window eBudde will make you aware of
this.
Once done selecting a time, click ‘Submit My Info’.

After Initial Sales are completed on the Girl Orders tab, you can allocate any extra
cookies sold by any girls in your troop. Simply click on the girls name you want to edit.
A new screen will appear and you can add more cookies to her total sales. All cookies
sold by each girl count towards her final rewards.
DOC orders will be automatically loaded for any online sales under the appropriate girl
as well.
If a girl sells cookies at a booth site, her sales can be added to the Girl Orders tab. There
is also an easy to use function in eBudde called Record Booth Sale, that helps with
booth sale management. This function allows the leader to easily manage the cookies
sold at booths by evenly distributing the total quantity sold to all girls who attended
that booth sale location. This option is also available as an App so the leader has the
choice!
This tab also allows you to add any money collected from parents to help keep accurate
accounting of all monies received. Once money is added to the Paid column it will then
be subtracted and an accurate amount will show under the Balance Due column.
After all edits are made, be sure to click Save.

Once you click on a girl’s name in the Girl Orders tab you can also see all her approved
DOC orders that girl has sold.
A shipped order will be labeled DOC SHIP. You do not need to provide any inventory to
her for those orders. All cookies shipped through DOC are handled by an outside
vendor even though the girl and troop receive the credit. You will see the varieties of
boxes ordered and a credit for the full amount paid.
Orders with only donated cookies will be labeled DOC DON. This will only show a total
number of boxes in the CGOC column and in the total column – no varieties can be
selected and a credit for the full amount paid. Leaders do not need to provide any
inventory for orders with only donation boxes. All cookies donated through DOC are
handled by GSNI at the end of the program but the girl and troop receive the credit.
Please note, at the end of Initial Sales, January 29 at 11:59 p.m. through Friday,
February 3 at approximately 5 p.m. there will be a pause of DOC orders flowing into
eBudde during initial order submission time. Customers can still place orders during
this time, they just won’t be seen in eBudde until the pause has ended.

For any DOC orders that a parent approves for Girl Delivery or In-person delivery they
will be labeled with DOC DLVR and the amount the customer paid will show as a
positive number in the Paid column and as a negative number or credit in the balance
due column.
NOTE-This does NOT automatically assign cookie varieties for Girl Delivery orders to the
girl.
The next slide explains in more detail what you as the Leader or Cookie Chair needs to
do to properly handle any Girl Delivery orders..

Leaders must get the information on what cookies are needed for a girl’s Girl Delivery
or In-person orders by one of several methods.
1. Go to the reports tab in eBudde and pull the DOC Orders by Girl report.
2. Get the information from the parent. OR
3. Get the information from the Digital Cookie site when viewing in the leader role.
Once the leader is ready to distribute cookies to a girl for a Girl delivery order or orders,
she must enter the varieties of cookies into eBudde under the Girl Order tab. DON’T
PANIC! Adding these cookie quantities will not duplicate the order or amount of
money due! The entry or entries will be offset by the credit or negative entry in the
balance due column. It is required to enter or the girl will not get credit for the sale
and the total balance due amount will be incorrect.
If additional cookies are needed to fulfill orders for Girl Delivery orders, cookie chairs
need to order these cookies from a cookie cupboard or a troop to troop transaction.
These transactions are completed using the transaction tab in eBudde.
Cookie Chair hint: If girls in your troop are receiving many Girl Delivery orders, don’t go
crazy going to the cupboard every other day! Give parents and girls a schedule of when
you plan to place and pick up cupboard orders. It is typically best to place cupboard
orders on Sunday to pick up that week.

Digital In Hand orders is a function only available when using the Digital Cookie Mobile
App. These orders show up on the Girls Order tab just like Girl Delivery orders. It
denotes the financials but will not show what boxes were given to the customer, the
leader/Cookie Chair still needs to enter what cookie varieties were sold.
Follow the same steps as previously described for Girl Delivery orders, but you will not
need to give the cookies to the girl since this option should only be used by a girl who is
handing the cookies to the customer.

On your Transactions tab, you can place orders for more cookies to be picked up at an
council cupboard or volunteer cupboard.
The cupboard days and times are displayed to easily see when a cupboard is open.
Start by clicking- Add a Transaction- a new screen will appear where you can enter the
quantity of each variety of cookie you need to order.
You will select your preferred cupboard location, date and time for pickup. Once done
entering all information, click Save/Print or Okay to save your order.
Cookies need to be picked up from the cupboards in quantities of 12, however both the
Toffee and S’Mores cookie can be counted towards the 12 if they are available at the
cupboard.
Once the cupboard manager has approved your order it will become un-pended and an
email will be sent to you letting you know you are set to pick up your cookie order on
the selected date and time.
A list of all cupboard locations is available on the reports tab and a document in the
Help Center under For Your Council. This document will NOT be posted on the GSNI
website due to personal contact information listed.

The Rewards tab will be used twice by the Troop Leader or Cookie Chair. She will use
this tab after submitting the troop’s Initial Cookie orders by January 30 at 11:59pm. This
tab will also be used to Submit Final Rewards, by Wednesday, March 22 at 11:59pm.
Do not submit your troop’s Final Rewards until your troop has completed all sales!
eBudde will automatically calculate what rewards each girl has earned, you will only
need to make edits if there is a choice or t-shirt size selection.
If t-shirt sizes are added on the Girls Tab in advance then these selections will populate
into your Final Rewards tab.
You have three choices: View, Fill Out or Girl Report.
You may edit all the girls in your troop’s rewards at one time by going to the Fill Out
button and clicking “Edit All”. This function can only be done once.
Once all edits are done, you will click SUBMIT Reward Order.

On the Booth Sites tab you will find Council sites that have been secured or you can add
your own My Sales site.
In this example, the drop down is for Council Sites. You can click on the plus sign next to
the city you are interested in. A list of all sites secured by GSNI in that city will appear.
Next click on the retail location you want to reserve. Available days and time slots will
appear.
Note: If the date is green that means there are times slots available to select. If the
date is blue, all times are taken.
Once you find the date and time you prefer the window on the right will appear. You
can then click in the open time slot to add your troop number and click Submit.
In this example, I chose Algonquin as my city and the Goodwill store for a Friday from 47pm.

If you select- My sales in the drop down, you will then need to click ‘Add a Location’.
The new screen is where you will enter the information about your booth site: name of
business, exact address, Contact information for the owner, and the date and time you
will be at this location.
Once done entering all information you will click- Add.
Please note – the complete address will be required with your entry or your request
will be denied. For example, an address of Route 67 and Main Street will not be
accepted. The complete address of 234 E. Main Street must be entered.
My Sales sites must be prearranged with the business owner or manager ahead of time
before entering into eBudde. Council staff approves My Sales sites generally within 72
hours.

Brand new for this year- the Booth Sale Recorder App has a calculator. This will help
make booth sales a breeze!
This can be found on the Booth Sites tab in the dropdown.

The Deposits tab will reflect all Digital Cookie order payments. Orders will each be
listed separately and be marked with the delivery type selected by the customer.
Troops are not able to make edits to this tab. To keep track of how much money is
collected from each girl, use the Girl Orders tab to record payments.

Another important report that can be viewed and printed is the Troop Sales Report.
This report details all cookies sold including Digital Cookie sales and Gift of Caring
donations received by the girls.
This report also shows your per girl selling average, so you can easily keep track of how
close you are to the next proceed tier. This is a valuable report with a lot of useful
information.
The report can be viewed in packages or cases, and can be printed.
