Farmers’ Market Application Guide
Application Guidelines
Rules and Regulations:
• SubmissionofaVendorApplicationFormdoesnotguaranteethevendorwillbeofferedanopportunityto
participateintheFamers’Market.Applicationsarereviewedbytheorganizingcommittee.Youwillbenotifiedof
acceptancebytheorganizingcommittee.
• Vendorboothspacewillbelimitedto10’x20’.Ifadditionalspaceisrequired,applicablefeeswillapply.
• Tables,chairsandtentsarerequiredandwillnotbeprovided.Vendorsarerequiredtoprovidetheirown
equipmentincludingpower,waterandice.
• Priortothemarket,vendorswillreceiveanemaildetailingset-upinstructionsandsitelocation.Vendorsmustbe
setup30minutespriortothemarketopening.
• Earlyteardownisonlypermittedifavendorrunsoutofgoods,leavingthemunabletocontinuesales.Vendors
mustreceiveapprovalfromtheMarketManagerbeforeteardown.
• Thevendorisresponsibleforensuringthattheirboothareaisclean,passeshealthinspectionandalllegaland
municipalrequirements.
• Garbage/wasteremovalistheresponsibilityofthevendor.
• Vendorswillbegiveninstructionsonwheretoparktheirvehiclespriortothemarket.
• NoalcoholicbeveragesmaybesoldonTownpropertywithoutaliquorlicenseandapprovalbytheorganizing
committee.
• TheMarketManagerhastherighttoinspectthevendorboothatanytimebefore,duringandafterthemarket.
• Vendorsarenotpermittedtobringorconsumeralcoholorsmokeonsiteatanytime.
• Theorganizingcommitteereservestherighttorestrictthenumberandtypeofvendors,andtoselectvendors
whobestmeettheneedsofthemarket.

Approval of Application
Eligibility:
• Allvendorsshallgrowproducewithin200kmofRichmondHill
• Avendorisresponsibleforprovidingverificationthatallsaleableproductsaremade,producedorgrownby
thevendor.Upto30%oftheproducemayberesaleofotherlocalgrowers’produce,subjecttoapprovalofthe
organizingcommittee.
• Artsandcraftsitemsshallbe100%originalandhand-produced.Becausethisisafarmers’market,spacefor
craftvendorswillbelimitedtoaratioof2to1,atthediscretionoftheorganizingcommittee.
Successful Applicants:
• VendorschosentoparticipateintheRichmondHillFarmers’Marketwillbenotifiedviaemailortelephonebythe
organizingcommittee.
York Region Public Health:
• SuccessfulapplicantsmustcompleteaYorkRegionPublicHealthVendorApplicationFormforthemarket
organizers.
• Theformmustbecompleted,signedandsubmittedtotheorganizingcommitteewithintwoweeksfollowing
notificationreceipt.

Vendor Fee Structure
• Avendorfeewillbecollectedbytheorganizingcommittee.
• ChequesshouldbemadepayabletoTownofRichmondHillandreceivednolaterthantwoweeksafterreceipt
ofconfirmation.
• PaymentcanalsobemadebyVisa,MasterCardorDebit.
Stall Fees:
• Stallfeesarebasedonasinglestall(10’x20’)andsubjecttotheratesintheFEETABLE.
• Sublettingofstallsisnotpermitted.
• Feeswillbereviewedannuallyandmaybesubjecttochange.Theorganizingcommitteeshallannuallyset
vendorsfeestocovercommonmarketexpensessuchasadvertising,rentals,salariesandinsurance.
• Therewillbenorefundofpaymentifthevendor/exhibitordoesnotattendtheevent.

Set-Up
• AllvendorsmustreporttotheMarketManageruponarrivaltosignin.
• Allsetupmustbecompletebefore9:30a.m.
• Novendorshallleavethemarketpriorto2p.m.
• Tarps,tents,signs,tablesandotherequipmentmustbesecuredinplacebeforetheopeningofthemarketto
ensuresafetyofthecustomers.
• TheMarketManagershallhavetherighttoapproveanysigns,displaysanddecorationsinthevendor’sspace.
• Vendorsshallremainintheirownstallwhenselling.Astallmustbeattendedatalltimes.
• NovendorshallmakechangeoralterationtoTownproperty.
• Vendorsshallnotblockwalkways,fireroutes,orothervendors’stalls.
• Stereoequipment,televisions,etc.willonlybepermittedwiththeapprovaloftheMarketManager.
Vendor Responsibility
• Vendorsagreetoacceptfullresponsibilityforanyloss,damageoraccidentoccurringatthemarketasaresultof
negligenceorwillfuldefaultonthepartofthevendor.
• TheTownshallcarrypublicliabilityinsuranceonthemarketareatoprotectthemarketandparticipantsandto
protecttheorganizingcommitteefortheiractionsonbehalfofthemarket.
• VendorsmustprovideacopyofproofofgeneralliabilitylistingtheTownofRichmondHillasanadditionally
insuredpartywithaminimumof$2millioncoverage.
• Allvendorsareresponsibleforcompliancewithhealthregulations.
• Allvendorsshalllabeltheirproduceclearlybytypeandprice.
• Vendorsareresponsibleforobtainingallpermitsrequiredintheproductionandsaleoftheirgoods.
• VendorsmustmaintaincompliancewithbothProvincialandFederalSalesTaxRegulations.

Product Eligibility
• Thevendorshallsellfromhis/herstallonlythoseitemswhichareapprovedbytheMarketManager.OnlyOntario
grownproduceormeatmaybesold.Anyproductnotproduceddirectlybythevendormustbeclearlyindicated
bysignageastowhereitwasproducedbythefarmororiginname.
• Itemsnotapprovedmaynotbesoldatthemarketandwillberemovedimmediatelyfromavendor’sbooth.
• Acceptableitemsinclude,butarenotlimitedto:
• Gardenproduce(vegetablesandfruit),honey,shrubsandtrees,poultry,eggs,maplesyrup,preserves,
animalfeed,herbsandspices,applecider,beddingplants,cutanddriedflowers,firewood,grains,
sweets,houseplants,bakedgoods,meat,fish,cheese,handmadecrafts,organicoilsandjams.
• AnyonewishingtosellanythingnotlistedabovemustcontacttheMarketManagerforapproval.
• Allcraftproductsmustbenewandnotfactorymadeorcommerciallyproduced.
• Fleamarketitemsarenotallowed.
