Wendy then became a Director and Chair of AAPNZ Professional Development Limited (PDL) a year later and has held that role for five years, becoming the Co-Chair when Sandy Inwood took on the Chair's role last year. Wendy is a member of the Wellington Group and thoroughly enjoys the networking, friendships and professional development that is a major focus of the group. She has her own business HUIRAE Management and assesses, trains and facilitates all over the country and sometimes overseas when the opportunity arises. We look forward to welcoming Wendy. We hope to hold it some other time as we always like catching up with the Marlborough Group. On Friday, 13 February, Margaret Bartlett, Kathy Webb and I travelled to Christchurch to attend the Southern Regional Gathering. There were 19 attendees in total, and we had a great day learning the do’s and don’ts of CVs, covering letters and interviews. We were also educated with some tricks for public speaking. Reports of our day will be in a future newsletter. We are very privileged to have Wendy Rapana, AAPNZ National President, visit Nelson in March to attend our monthly group meeting. Wendy will tell us about her role as National President along with her hopes and dreams for the Association as a whole. She will also tell us about the different aspects of AAPNZ (PDL, NEC, etc) so that we all have a better understanding. Certification will be another topic, so this will be an ideal time to have your questions answered. If anyone is able to offer Wendy a bed for the night, that would be greatly appreciated. If anyone has a burning desire to help out with Administrative Professionals Day this year, please contact me at [email protected]. On Wednesday night we had our monthly AAPNZ meeting and this time we had an energetic team from Spark joining us. Irene Buchan welcomed Sophie and her team who were going to provide the group with tips and tricks for working with technology and social media. Irene introduced Sophie who has been working with Spark for three and a half years and had been recently promoted to manager. Sophie introduced her team, Regan and Victoria, who were both specialists, Victoria with I-Phones and Apple devices, and Regan with Samsung devices. Margaret Black, Acting President, with Natascha van Diem receiving her AAPNZ membership badge. Margaret Black, Acting President, with Trudy Tyler receiving her AAPNZ 15-year membership bar. Sophie said that working for Spark meant that a large part of their role was educating others and she looked forward to providing information to the group to inspire us as and to get us using our mobile devices confidently. One of the areas Sophie discussed was applications on mobile devices. She said that a mobile device was any technology which was not a laptop and the reason for applications was that they were designed to help individuals do a task and provide you with a shortcut on your device. She showed us that when applications were viewed on a mobile device they were scaled down and easy to use. She told the group that the functionality was still available on the mobile device; you just had to look for it! She illustrated such sites as Facebook and Trade Me. Irene Buchan introducing the Spark team. Usually Irene is on the other side of the camera as the Nelson Group Photographer. The second area that Sophie provided us with advice on was how to make your cell phone transmit to another device. She illustrated to the group that you needed to go into your ‘Settings’ and locate the ‘Tethering and Portable Hotspot’ which could be named slightly differently depending on your mobile device. Once configured she advised that the Hotspot should be renamed and that a change in password would be beneficial as most of them were overly complicated. By doing this you could share the information on your mobile device with another device so that when you were away from home you could utilise your mobile data connection. The Spark Team: Sophie Ricketts (Manager of Spark Nelson) , Victoria White (Assistant Manager) and Regan. Zohrab. AAPNZ Nelson Notes — March 2015 Page 3 FEBRUARY MEETING REPORT Cont’d To locate how much data you had available, Sophie advised that it depended on your provider. However, if Spark was your provider then you could pop into the shop and someone would show you. Lastly, Sophie helpfully told the group that if you went to the Spark website www.spark.co.nz and typed in Tech in a Sec, there were numerous short videos that targeted using a mobile devices. The time went so fast that Sophie, Victoria and Regan didn’t get to cover all the information they wanted to, so hopefully they will be back visiting the group again in the near future! Sophie logging in to facebook. As she hadn’t logged in to that particular computer it asked for a code, which was sent to her mobile phone for her to put in for her facebook page to load. Regan assisting Carol Foote, Kathy Tatlock and Jo Greig. Victoria assisting Christine Tzanetis and Dulcie Carson. Margaret Bartlett, Acting Vice President, thanked Sophie, Victoria and Regan for coming and sharing their knowledge and expertise. Regan assisting Cathy Knight, Max and Valerie Gribble, and Joy Lindley. Page 5 SKILLS BASE - RULES Māori Greetings For Letters and Emails A formal letter or email can begin with: Tena koe (name) Dear (Name) “Tena koe” is used to greet one person. Tena korua “Tena korua” is used when writing to two people. When using “Tena korua”, you do not have to insert the names of those you are writing to. Tena koutou “Tena koutou” is used when you are greeting three or more people, for example a group email. An informal letter or email can begin in the same way: Kia Ora. “Kia Ora” can mean hello, good morning, good afternoon and thank you. “Kia Ora” may be used to greet any number of people. Kia Ora korua - Hello to two people Kia Ora koutou - Hello to three or more people W ouldn’t it be nice to have your emails automatically filed, answered, forwarded, deleted and prioritised? A substitute pair of hands and eyes! Rules could be a life-changing experience. Every email (and most webmail programmes) have a Rules function. For emails you send and/or receive, you tell Rules what to look for and then what to do with the emails. And it’s ‘hands off’ for you, saving you time and repetitive activities. You can have as many or as few Rules as you desire. Rules won’t eliminate the actual number of emails you receive. They will help you prioritise and eliminate the unnecessary ones. There are four steps to creating each rule: 1. Set what to look for from a certain address, not directly addressed to you, and certain words in the subject line or the body of the email. 2. What to do with the email when the condition is met (move to a folder, forward to another person or your mobile phone, answer it or delete it). 3. Specify if there are any exceptions. 4. Finally, turn it on and the best part of all, click to additionally run it through your existing Inbox/Sent Items. Sign off - You can end an email or letter in the following ways: Na (Name) From (Name) Naku, na (Name) Yours faithfully (Name) Naku noa, na (Name) Yours sincerely (Name) Nga mihi (Name) Kind regards (Name), or thank you. To Create a Rule: 1. Select the Rules Wizard icon from your toolbar (Outlook only) 2. Or right click somewhere on the email and select Create Rule (Outlook only) Nga mihi nui (Name) “Nga mihi nui” is a way of saying kind regards with more emphasis or gratitude. Ma te wa (Name) Bye for now (Name) Noho ora mai (Name) Stay well (Name), good bye Other greetings include: Morena Good morning Ata marie Good morning AAPNZ Nelson Notes — March 2015 Page 6 SKILLS BASE - Rules Cont’d Or in the Tools menu, click Rules and Alerts (Outlook only). In the Tools menu, click Message Rules, select Mail (Outlook Express only). From any of the above first steps, click New Rule. Follow the wizard from this point. MARCH BIRTHDAYS W arm birthday wishes to the following birthday girls: Correne Brewerton 1 Marc h Leah Thomson 4 March How will I know if the Rules are Working? Valerie Gribble 9 March Just as your Inbox name turns bold and a blue number appears when you have new and unread emails, the same happens when the Rules function places incoming emails into specific folders. The name becomes bold and you’ll see in blue the number of new and unread emails that have been delivered. Carol Foote 23 March Pam Meadows 28 March AAPNZ National President’s Theme Common Shortcuts we should all know. Unfortunately no-one emailed me with this year’s theme for AAPNZ! Wendy Rapana’s theme is: Embrace Change, Lead by Example Previous Themes: 1. Investing in Yourself (2014 Lorraine McKeown) 2. Realise Your Dreams Today, Not Tomorrow (2009, Sue Westbrook) 3. We Can Fly (Friday Roundtree, 2006) Both articles were kindly supplied by Debbie Mayo-Smith, Acclaimed International Speaker and Author. I am not a product of my circumstances. I am a product of my decisions. Stephen Covey AAPNZ Nelson Notes — March 2015 Start where you are. Use what you have. Do what you can.
