High-level Process for entering school pictures into BCeSIS:
Steps
Key Points
The school saves student, teacher and parent (if applicable) pictures into a zip file.
The school requests an FTP account to transmit the zip file to BCeSIS.
The school copies the zip file to the BCeSIS FTP site for their school.
The school requests a refresh of the pictures on BCeSIS.
The BCeSIS Database Administrator (DBA) configures the School Pictures screen and then
places the pictures in the proper BCeSIS folder.
The school pictures are now available on BCeSIS.

Detailed Process for entering school pictures into BCeSIS:
Steps
Key Points
The school photographer will need to save each student and teacher file in a format of
identifier.jpg, where identifier is the BCeSIS student number or BCeSIS teacher number. The
pictures should be placed in a folder tree of \students, \teachers and \parents.
The School Prime or photographer places the collection of pictures into a zip file called
ddsss_pictures_yyyymmdd.zip, where ddsss represents the district and school number and
yyyymmdd represents the date the pictures were collected (e.g.,
68023_pictures_20040923.zip).
The School Prime will send an email to the BCeSIS Administrator
([email protected]) requesting a BCeSIS FTP account and password for the
pictures.
The BCeSIS Administrator contacts the BCeSIS System Administrator to:
• create the FTP account and directory structure on csiademo.educ.gov.bc.ca;
- Note: the firewall has previously been opened to allow FTP access for any IP address in
the 142.000.000 range. This should allow access from any CITS network point, including
PLNet.
• notify the BCeSIS Database Administrator with the FTP account and password.
The BCeSIS Administrator contacts the BCeSIS Database Administrator to:
- unzip ddsss_pictures_yyyymmdd.zip stored in the FTP folder for the district;
- ensure the students and optionally teachers and parents directories contain jpeg files;
and
- move the pictures to the appropriate folder on the BCeSIS application server.
• log on to the BCeSIS application, select the school that sent the zip file and configure the
School>School Information> School Details>Picture Locations Button screen to specify the
pathways where photograph files will be stored, click in each Picture Location field and
type the picture folder location on the BCeSIS application server.
