Volunteer Concession Guide Thank you for taking time to help the league. There will be a support person assigned by the Board Concessions Director to open and provide a brief review of the menu offerings and operation. In addition, there will be a support person to assist in closing. Listed below is a guide which will provide you with the necessary information to make your shift a positive experience. Concession Age Policy - Children under 8 not permitted during operating hours. This is to protect both the child and league. Children 8-13 may assist with a parent present. Kids 14 and older can volunteer. Review menu - posted on BLL website, under volunteer section. Operating Hours - Stand should open 15 minutes prior to first game and close at start of 4th inning of last game. First Aid - Bags of ice in freezer door. Red first aid bag is located in storage room. Concession Opening Checklist (Opening support person) Arrive one hour prior to first game start. Fill Hot Dog unit with 4 qts. hot water and turn on high. Place two bottom pieces and top three pieces. Use cart, empty dish drain and place items in appropriate areas. Turn on Popcorn light and Kettle heat. Turn on Nacho Warmer, place 6 popcorn kits in to warm. Fill Crock with one container queso, put on low. Turn to warm after 30 minutes. Stock Hot Dog unit with 12 hot dogs. Once hot dogs reached an internal temperature of 140 degrees, turn unit down to 3. Buns should be placed in gray tub below machine. Raise flags, unlock bathrooms, and unlock upstairs (if managers request) Make 4 batches of popcorn. Fill plastic container with nachos and place inside warmer. Take Jalapenos out of refrigerator. Take beverage cooler door stop off. Make one pot hot water for Hot Chocolate (when cold). Open safe, count drawer $100, close safe, place money in drawer. Open shutters 30 minutes prior to game, no later than 15 minutes prior to game. Key for shutter is labeled F3 and located on wall across from ice machine. Place Napkins, Mustard, Ketchup, and Trash crocks on front counter. Volunteer check in - Greet, store personal items in storage room, and review children's policy. Review each menu item, price, where it is located, how to assemble, etc. Make samples if necessary. Show at least one volunteer how to operate both popcorn and sno cone machines. During games (VOLUNTEERS) Volunteers to work service windows, responsible for accepting money. When grill is open, tickets will be purchased in the concession window for grill items. Volunteers fill orders. Volunteers are permitted to drink bottled water. All other product must be purchased. Gloves MUST be used when filling hot dog orders. Gloves MUST be used anytime handling food that customer will consume. Keep counters clean, using Windex Multi Surface / paper towels or Clorox Wipes. Place more hot dogs and buns in unit, if necessary. Raise temperature to high. No more than 12 unless a team places an order in advance for after game. Make sure to keep already cooked hot dogs in front of unit. Hot dogs will take at least 20-25 minutes to be at proper serving temperature (140 degrees). Reduce temperature to setting 3. Popcorn - Make as necessary. Make 1 batch 10 minutes before second game. Queso - Refill crock as necessary. Turn to low to warm queso. Restock beverage cooler if needed. Sno cone machine - ONLY ADULTS are permitted to operate. Sno cones - crushed ice container will need to be emptied periodically. Check to see if water in container before making crushed ice. Sno cone syrup - refill containers as necessary. Peanuts - Use bus tub and fill quart size ziploc bags. There should be 7 small bags for each supply bag. Note items needed or customer request on clipboard next to refrigerator. Often times the support person will not be available when the next shift arrives. A volunteer will be asked to give the same brief review of the menu and operations. In the event a situation arises that requires immediate attention, please call Jim Broadwell at 832-347-4336. Grill Duties Assist opening support person with grill set up which includes: placing grill, setting serving table, condiments, cooler with products. One volunteer to cook product. One volunteer to accept tickets and serve items. Assist closing support person with grill closedown. Concession Closing Checklist (Volunteers and closing support person) Last call - Signs are posted stating the stand will close at the top of the 4th inning. It is encouraged to have a volunteer visit each side and make an announcement at top of 4th inning. Take containers and napkins from front counter. Wipe and store in left bus tub below hot dog unit. Outside shutter should be closed and windows closed within 15 minutes of last call for those that want beverages and packaged products. Shutter lock key hanging by bottled water (F3 key). Below is the order stand should close. Volunteers should split duties to speed up closing. If done properly, stand should take approximately 30 minutes to close. Hot Dog Machine Turn off hot dog machine and unplug. Wait 15 minutes. Discard hot dogs and buns in trash. Place unit tops and inside pieces in bus tub below (Be careful, bottom pieces will still be warm). Take to sink and wash with soap and water. Place in dish drain. Drain water from hot dog machine using container below unit. Replace drain cap. Pour 2 qts. fresh water in machine and drain. Wipe out excess with paper towels. Nacho Station Queso - Turn off crock. If more than 1/4 full, cover with plastic wrap and place in refrigerator. If less, discard and wash crock. Nacho warmer - Place unused nachos in storage container and seal. Turn off warmer, switch located on bottom right of unit. Wipe inside with Clorox wipes and paper towel. Leave leftover popcorn when available. Fill Jalapenos container with extra stored in refrigerator, cover with plastic wrap, and put in fridge. Take nacho container, tongs, and tong storage to sink. Wash with soap and water. Place in dish drain. Clean outside glass of nacho warmer. Popcorn Machine Turn off Popcorn kettle heat after cooking last batch. Fill 5 popcorn bags (when available) and place in Nacho warmer in case someone asks while closing. Remove excess popcorn from bottom and empty tray. Take bottom, kernel tray and steel door to sink. Wash with soap and water. Spray Windex Multi Surface on paper towel and wipe inside and outside glass. Be careful of kettle, it will be hot! DO NOT CLEAN KETTLE! Concession Closing Checklist Beverage Cooler Restock beverage cooler with beverages. Place warm beverages behind cold whenever possible. Cooler should be completely filled. Sno cone station Refill and wipe sno cone bottles. Store in refrigerator. Take trays, scoops, and inner crushed ice container to sink. Wash with soap and water. Place in dish drain. Empty Ice bucket and store under sno cone machine. Wipe and dry inside of sno cone machine and turn off light switch located on upper left of unit. Other items Empty hot water from coffee machine. Place bubble gum, spoon crock, hot chocolate on top of candy shelf. Register bank / Daily deposit - There are two yellow envelopes in cash drawer with cash slips. Follow steps to complete register bank and daily deposit. Wipe all counters with Windex multi surface and paper towels or Clorox Wipes. Clean beverage cooler glass. Place white door stop on top left door of beverage cooler. Located on top of fridge. Sweep floors. Pull trash, tie, and place in container outside door. Lower flags, fold and place on white tray next to ice machine. Lock Press Box and Bathrooms. Lock concession storage room. Turn off all lights (front room, storage room, and back room0, lock outer concession door. THANK YOU for volunteering your time, Bellaire Little League appreciates your service.
