Welcome back! We are so blessed to have such an outstanding staff to work with our students. YOU all
continue to make Briarwood Elementary a truly special place to learn and “work.” We are looking forward
to another wonderful school year in which we reach even greater heights!
Please take some time to look through this handbook as it holds answers to many questions. Let us know if
you have any questions.

Bus Information
The “2nd Light Blue Bus” will be called the “Silver Bus” this year.
Students should be told that if they need to ride another bus other than their regular bus, THEY
MUST BRING A SIGNED NOTE FROM THE PARENT. THIS NOTE SHOULD CONTAIN
THE FULL NAME OF THE CHILD, THE REASON FOR RIDING ANOTHER BUS, AND A
PHONE NUMBER WHERE A PARENT CAN BE REACHED.
The note should be brought to the Office with daily attendance.
Prior to the afternoon dismissal, the Office will return the note to the child to show to the bus
drivers. BUS DRIVERS WILL NOT ALLOW A STUDENT TO RIDE WITHOUT A NOTE.
Health Room
Our Health Room will be available for students who have minor scratches, need to take their medicine,
or simply feel bad. As you know, the funds are rarely available to properly staff our health room. Please
keep your own small, first-aid kits in your classrooms to use as needed and only send students to the health
room for more severe issues. We will cover the health room with office staff throughout the day. This
year we will be adding a Health Aide to assist with student needs.
Attendance
Attendance/Lunch counts must be in the Office by 9:00 a.m.
If you know why a student might be absent, please list that on your attendance form. This helps
Debbie to maintain records and cuts down on the number of calls she has to make to the homes of the
students who are absent.
Class Reward Parties/Movies
A CLASSROOM CAN ONLY HAVE ONE PARTY/MOVIE PER SEMESTER. THIS DOES NOT
COUNT THE SCHOOL-WIDE PARTIES FOR HOLIDAYS.
Please find other ways to reward your students. This may include technology days, in-class dress up
days, lunch in the classroom, extra recess, etc.
This year we will be holding periodic reward/incentive days for good behavior through our
PBIS/Universal Team. This may or may not include a movie. Either way, the students will be
rewarded for reaching behavioral expectations. This will occur on a school wide basis. Criteria
for attending these PBIS reward days will be shared.
Communication with Parents
Most classroom problems can by alleviated by keeping parents up-to-date on their children. Parents
want to hear from you concerning their children, please make contact with them on a regular basis.
This includes academic and behavior progress or lack thereof. REMEMBER, “Good News Postcards”
are in the office. Parents are appreciative any time they receive one of these. Let’s concentrate on
looking for the positive and not the negative behavior. Please make a point to regularly contact
parents. Share good news with parents from time to time!!! This practice has a great impact on
teacher/parent relationships!

Correspondence & Communication
Please keep the Principal and Assistant Principal informed of issues that tend to raise questions or
concerns.
If a child is not completing work, causing a problem in class, or is in danger of failing, MAKE
CONTACT WITH THE PARENT at the first sign of trouble.
Any incident occurring in the school building, on the school grounds or en route to or from school,
which might be misinterpreted or misunderstood by parents, should be brought to the attention of
the Principal immediately.
It is extremely important to keep a copy of all correspondence to and from parents. Date it, file it,
and print e-mails that might come back to “haunt” you at some time in the future. BE
EXTREMELY CAREFUL OF WHAT YOU PUT IN EMAILS. DOCUMENT!
All long-distance calls made must be for school business ONLY.
Money Taken From Students/Parents
Money taken from individual students MUST be receipted by individual student name. Genia has
a Multiple Receipt Form to use for this purpose.
Money must be deposited daily. DO NOT KEEP ANY MONEY IN YOUR DESK, YOUR
ROOM, OR ON YOUR PERSON. THIS PUTS A CERTAIN DEGREE OF LIABILITY ON
YOU. IF MONEY COMES UP MISSING FROM YOUR DESK, ETC., IT WILL BE UP TO
YOU TO PERSONALLY REIMBURSE THE AMOUNT.
GENIA WILL BE GOING TO THE BANK EACH DAY AT 3:30. TEACHERS/STAFF
MEMBERS----MONEY MUST BE DEPOSITED DAILY. DO NOT KEEP ANY MONEY. WE
GET WRITTEN UP FOR THIS; AND IT CAN LEAD TO PROBLEMS.
Teacher Recordkeeping
Attendance
Even though Debbie enters the attendance into the attendance program, it is the teacher’s
responsibility to keep accurate attendance records for each child. This becomes very important as
more and more cases are being sent to court for truancy/neglect.
Teacher Responsibility
1) Teachers must input their attendance each morning through Infinite Campus. Please
keep a daily record of students that are absent, tardy, or leave
early. This serves as a backup to what is entered into the attendance program. Occasionally,
data is lost; therefore, these backups are essential.
2) Attendance/lunch slips must be to the office by 9:00 a.m.
3) A written note signed by the parent/guardian/doctor explaining the nature and date of the
absence is required for a student’s absence to be excused. Students will have 5 days to
present a note. These notes should be sent to the office as we maintain a file of these excuses.
4) In the case of excessive absences (10 days with notes from parent/guardian), a
Physician’s note may be required for all future absences.
5) Students will receive letters once they accumulate 6 unexcused absences/tardies. Once a child
has accumulated 9 unexcused absences/tardies, the record will be sent to the courts for
truancy. If you have a student that has missed several days, please remind us so that Amy
and/or the Principal can check for truancy as described by the law.
6) Students are not allowed to make up work for unexcused absences.
7) PLEASE MAKE A CONSCIOUS EFFORT TO DO A HEAD COUNT AT MORNING
MEETING. A CHILD IS CONSIDERED TARDY AT 8:31.

Cumulative Records
Every student in the school must have a cumulative record folder in their individual file. These records
must be kept in the Records Room/Vault in the office.
This is a permanent record of the educational experience of each child. It follows the student through high
school, and the entire file is kept for seven years after graduation. Permanent record cards are kept
indefinitely. Therefore, all information should be accurate and up-to-date. It is the teacher’s responsibility
to keep the record accurate & up-to-date. All student records are to be kept in the records room. In the case
that a teacher needs the record, he/she needs to see Mrs. Roberts to sign the folder out.
No one may take a folder from the records room until it has been
signed out.
End of year: Ending date of school, absences, recorded grades or progress reports
must be placed in the file.

The emergency information cards contain information that we need in order to contact a parent.
Information should be complete and accurate.
These cards will be given out at Open House---hopefully, we will get the parents to fill them out
while in the building instead of sending them home. If the parent chooses to take them home, we
need them back by MONDAY, AUGUST 15, 2016. Please do all you can to get these cards back
to the office as soon as possible.
If you are made aware of any custodial issues or any other pertinent family situations, please let
the office know ASAP so that it can be investigated and/or noted on the student’ s Emergency
Card.
Remember, we will not release a child to any one that is not listed on this emergency card.
Morning & Afternoon Duties
All morning duties will begin promptly at 8 AM. Please check and make
note of the weeks you have duty. If you are absent from school on a day you
have duty, it is your responsibility to get your duty covered.
Morning Meeting will begin at 8:20 AM. ALL TEACHERS WILL BE IN
THE GYM AND SEATED WITH THEIR CLASSROOMS BY 8:20. Most
students have arrived in the gym by 8:20 and more supervision is necessary.
If there is a reason you will be late, please call the Principal or Assistant
Principal as soon as possible.
*All teachers are expected to stand at their door throughout dismissal. This allows for
proper supervision during this busy time of the day.
*If you are absent from school on a day you have duty, it is your responsibility to
have another individual cover your duty for you.

General Concerns
1. CELL PHONES – Please limit cell phone usage only to your planning period and
lunch periods. Having the phone on silent during instructional time is absolutely
permitted due to each of our family commitments. But, using your phone,
checking specific apps, texting, etc. isn’t appropriate while we have students in
classrooms. Simply put, it is unprofessional and sends a bad message.
2. Please make sure the recess radio is taken to recess and returned to office
afterwards.
3. If you need to leave the building during the school day, please see either the
Principal or Assistant Principal, and then remember to sign out in the front office
before you leave.
4. Children who are GAT should NOT be required to do additional class work for
the time they are out of your classroom.
5. Remember that each morning from 8:00-8:30 is “Briar Buddies”.
Sarah Edmunds and the new Librarian will be supervising and helping
students who need help.
6. Teacher workday is 8:15 until 3:40 (our normal school day hours are from 8:303:30). If an emergency happens, all teachers are to remain in the building
until dismissed by the office.
7. Please remember Briarwood’s homework policy states that students will not have
more than ten minutes of homework per grade level. For example: 2nd graders
should have no more than 30 minute of homework per night.
Drills
Board Policy states that during the first month of school, two fire drills will be
conducted. After the first month, one fire drill per month must be conducted.
It is also recommended that bomb threat drills be conducted twice a year.
Tornado and earthquake drills will also be conducted.
Information will be reviewed as to how all parties should proceed during all
safety drills.

§ This will be handled by one member of the office staff every morning.
Gym Duty:

§ 2 Faculty/Staff members will report at 7:58.
AM Car Rider Duty:
§ Begins at 8:00 and ends at 8:30.

AM Cafeteria Duty
§ Ms. Rita & one classroom teacher will be overseeing the cafeteria.
AM Bus Duty
§ The Assistant Principal and Kim Hill will be in charge of buses.

All faculty meetings will take place right after school until about 4:45. Please
do not schedule after school appointments on these dates. Some of these
faculty meetings require us to go beyond 4:45. Some of these faculty
meetings may be canceled, but I won't know which days until about a week
beforehand.

Policies & Procedures for
Faculty Members of Briarwood Elementary
Arrival & Departure
☼ All certified staff members are required to arrive no later than 8:15
AM and may leave beginning at 3:40 PM (per district policy).
Departure times may vary depending on various factors. Please make
sure all of your students have safely exited prior to leaving yourself.
☼ Teachers must lock their doors and check and close opened windows
prior to departing each afternoon.
☼ If you use an outside door close to your classroom to exit the building,
please check to see that the door latches once you exit the building.
☼ Teachers must ensure that all computers, ActivBoards, projectors,
and speakers are turned off prior to leaving the building.
Accidents In & Outside of the Classrooms
☼ If a child incurs an injury, please take the child to the office area, or
if the child cannot be moved, please call the office immediately for
assistance.
☼ AN ACCIDENT REPORT MUST BE FILLED OUT FOR ALL
ACCIDENTS.

☼ TEACHER/STAFF ACCIDENTS—if you are injured in any way, you
must fill out a workman’s comp form immediately. This cannot be
delayed. Genia has these packets.
Recess
Schedules will be given for recess times. Since a large number of our
discipline referrals come from the playground area, it is imperative
that teachers teach the expectations for playground behavior.
Recess schedules are not to be changed. If you are rewarding
children by allowing them extra recess time, that is okay. However, if
smaller children/larger children come during this time, please move
your children to another area for the extra time.
Teachers are expected to supervise all areas on the playground. This
is not a duty-free time for teachers; therefore, teachers should be
visible and moving around the areas where children are playing. A
great deal of bullying takes place on the playground.
When exiting the building for recess, do not prop the doors of the
building open. Take your building keys with you to the playground.
Remember the sidewalks and hallways are no talking areas while
students are moving. Children are not to use the sidewalks that are
outside the classrooms as play areas.
Absolutely no running is allowed anywhere in the building except
for physical education activities being conducted under the
supervision of Ms. Deere.

will be responsible for calling faculty in their grade/area. Thanks to the new
designees for being team players!! If you need phones numbers for your
grade/area members, please see Genia.
Here is how it all works – The Principal will be the first person to call.
1)If you have information, or something happens we all need to know about
– call the Principal.
2) The Principal will notify Genia
3) Genia will begin the phone tree procedure by calling the designees.
4) The designees will call those they are assigned. If a classroom teacher or
special area teacher has an assistant, they are to contact him/her.

Guidelines
DUES:
1. All Briarwood employees (certified and classified) will be asked to pay yearly “Sunshine
Dues.” Part-time employees will be asked to pay a percentage of what full time employees
paid that school year.
2. The fee will be announced per school year.
3. Dues need to be paid promptly.
4. A complete list of Sunshine Members will be given to committee members within one
week of the final deadline to join the Sunshine Club.
SUNSHINE CLUB MEMBERSHIP PERKS:
1. Members will have the following club privileges:
A. A vote on sunshine topics that are presented to members by the committee
members.
B. Be recipients of showers for births or marriages. (Showers will be held to
celebrate marriages or births with the Sunshine Committee Members being
responsible for setting the date, circulating invitations and reminders via mail,
having cake, punch and other edible items, paper products, set up and clean up.
C. Receive a plant, gift certificate, or food tray not to exceed the total amount of
$35 for a death in the immediate family ONLY (husband, wife, child, stepchild,
sibling, or parent).
D. If a Briarwood Sunshine member is hospitalized for a period of two or more
days (48 plus hours) they will receive a plant, gift certificate, or food tray that
does not exceed the $35 limit.
****No acts will be performed by the Sunshine Committee for immediate
family members that are hospitalized or that have surgery. This can be left
up to all Briarwood employees or team members for what acts of kindness you
all would like to perform. You might choose to take food items, collect things
for a basket, etc.
E. Cards will be sent to Briarwood Faculty and Staff member if a death occurs
that is not included in your immediate family. THIS WILL ONLY BE DONE IF
WE ARE MADE AWARE OF THIS LOSS.
F. Retirement teas will be organized for the retirement of a faculty or staff
member (monies will be collected to buy a gift).
G. Organizing “Secret Santa” and “Secret Bunny.”
H. Special treats for Sunshine Members throughout the school year.

I. A “Sunshine Syllabus” will be given to all Briarwood Faculty and Staff members
during the month of September. It will be a master schedule of the food days,
showers, etc. This will be updated as the year progresses and new occasions
arise.
J. A binder will be kept on file in the office that documents flowers, cards, and
other acts performed by the Sunshine Committee.
