An opportunity has arisen for an energetic and
enthusiastic person to join our team as an Office
Administrator and Sports Coordinator. The ideal applicant
would:
 Have strong communication skills
 Have an enthusiastic manner and a sense of
humour
 Have the ability to prioritise and multi-task
 Be computer literate
 Be able to relate well to children, parents and staff
 Have office administration skills
 Be well presented
 Be punctual
 Have a strong knowledge of multiple sports codes
 Be able to be flexible with days of work

To respond to inquiries from staff, students and visitors in a
positive manner
Respond to enrolment inquiries and refer to the Office
Manager or Deputy Principals if necessary
A clear and concise telephone manner to answer the
telephone, clear answer phone messages and forward to
the appropriate person as required
Maintain reception area
Coordinate the ordering and distribution of the school
lunches
Liaise with Office Manager re work load priorities
Assist with the running and maintenance of photocopier and
consumables
Document production for management and other staff as
appropriate
Filing as necessary
Advise Office Manager of the need to order any stationery
or other items
Copy and distribute any notices/newsletters as required
Assisting in the organising of catering for meetings etc as
required
Other duties as requested by the Principal or Office
Manager
Distribute invoices for the Amenity Donations and any
outstanding debt (eg stationery, camp, hall use) if required
Receipt as necessary incoming money (eftpos, cheque,
cash and direct payments to the school’s bank account)
Maintain the book of all eftpos receipts, clearly identifying
each payment
Ensure all money securely stored
Administer basic first aid as required to students, staff and
visitors

Contact parents of children too ill or injured to remain at
school to have them collected
Record accidents in the first aid book (other than minor cuts
and grazes etc)
When it is considered advisable, and for all head impacts,
an incident form is to be completed and sent home with the
child
Record date and names of children sent home during the
day on the whiteboard in the Medical Room, also record
who collected the child
If an accident has involved the teeth of a student the
parents are to be contacted and advised.
Administer drugs as per school procedure
Refer any payroll queries to the Office Manager
Clear absence messages from the answer phone just after
9.00 each morning and record the messages in the
‘Absences Book’
Check that teachers have completed their eTAP electronic
registers each morning and afternoon, prompt if necessary
Change any absences recorded by the teachers to the
correct codes if known (as per messages left by teachers or
parents to explain an absence)
Liaise if an error in the marking of the roll is suspected
Any children still absent without an explanation are to have
their parents rung for an explanation
Recurrent unexplained absenteeism to be discussed with
Deputy Principals
Be familiar with the eTAP Student Management System and
liaise with them as necessary to help tailor the system to
Henley School’s need
Keeping and maintaining a paper ‘back up’ set of each
student’s details in case the school is unable to access
eTAP for any reason

In conjunction with the Teacher in charge of Sport to
organise all school sports days including: -athletics,
swimming, triathlon, cross country making sure all courses
are marked, manned and equipped to run the event
successfully.
Implement coaching clinics where required to teach and
improve students and coaches skills.
Advise, collate and place children into teams for all sports.
Organise coaches/parent help and make sure all equipment
is available.
Respond to sports enquiries at the office
Co-ordinate all interschool sport representation making sure
permission, transport and uniforms are covered.
Perform all administrative and financial collation duties
relating to the sports co-ordinator position
Maintain an effective working relationship with the Teacher
in charge of Sport
Maintain relationships with staff that are co-operative and
supportive
Participate in professional development if required
