MINUTES OF THE JUNE MEMBERS MEETING HELD June 25th, 2016 Meeting called to order at 6:09 p.m. Rene Ramirez, President opens the meeting with a welcome to returning guests and thanks Lola Pantoja for hosting the Alumni Membership’s 6th Meeting. Sandra Hermida, Parliamentarian, goes over the meeting decorum and introduces the “clapper” which will be used “only” if she is restoring meeting order or member are talking. Carol Sagaribay, Secretary, provides a copy of the May Minutes to Simon Garcia, and asks the members if they have read the May Minutes online, and moves for approval of the minutes, which were unanimously approved. Ruth Ramirez Bernal, Vice President, introduces both photographer quotes offered by Ismael Lozada and Herman Delgado, they are as follows for members to review in writing and consider for the July Monthly Meeting. o Ismael Lozada – Hourly fee of $100.00 for a total of $400.00 for four hours. This includes the files and a Release of Rights Letter (to duplicate copies). The $400.00 will cover the entire even, and they can set up a guest studio for people to purchase guest pictures. They can do Guest Packages at $20.00 or they can have a photographer go “table to table” and offer a 4X6 for $5.00 per picture. o Herman Delgado – $275.00 for four (4) hours from 8:00 p.m. to 12:00 a.m. Package includes one (1) CD and copy rights. No access to burn CD’s will be available due to Mr. Delgado’s editing needs. Showcase Class of 77, class picture, group picture, individual/couple picture. All pictures taken between those hours with copyrights will be sold for $10.00. Ruth has volunteered to take Orders for Mr. Delgado. Mr. Delgado requires ½ upfront which is $137.50 and the remainder to be paid the night of the event. o Carol Sagaribay, mentioned that Patricia Gutierrez was sent a copy of Ismael Lozada’s quote to forward to her family member to see if we can get another quote, and Margie Gutierrez will follow up for July Meeting. o Simon Garcia will also get a quote from a photographer he knows. Ruth Ramirez Bernal, also discussed suggested times for the Dinner/Mingler and when the Caters will arrive to set up food, and whether they will leave extra food. After discussion by the members and a motion by Lola Pantoja it was decided that two (2) hours would be sufficient for the dinner. Mari Martinez made a motion to set the time from 6:00 p.m. to 8:00 p.m. with caters setting up at 5:30 p.m. and it was passed by unanimous decision. Ruth Ramirez Bernal’s next item was discussion of the donations to give away door prizes and a discussion was held as to what times the donations would be raffled away. It was decided that donations would be given on top of each hour throughout the night and end one hour before event ends. Winners must be present to win (tickets), members voted and it was approved. o Margie Gutierrez, discussed the need to create a Decoration Committee and after discussion members voted that Margie Gutierrez would chair this committee and we “all” will meet the night before the event to decorate the hall together. Javier Garcia, Historian, discusses the opportunity to create our own photo frames to create a Photo Booth, and provide the props and we can hang the frame or it can be held. Sandra Hermida also discusses a “how to create your own photo booth, and will bring some examples to pass out to the membership in the July Monthly Meeting. Danny Martinez, Treasurer, read the Donations report and stated that a total of $950.00 has been collected to date, and the amounts are in January a donation collection was $129.00, February $115.00, March $151.00, April $270.00, May $200.00 (to include Patricia Gutierrez $50.00 donation and $35.00 from the 50/50 Raffle), and in June’s meeting a total of $180.00. The Travel Mugs expenditures was $477.39, for a total expenditure of $514.18. Danny has a Financial Log Sheet that members are welcome to view. Danny Martinez, also announced that a Memory Lane for 1975 Baseball Team who won the State District Title will be in October 22nd, 2016, if anyone is interested in tickets, and there were six (6) Class of 1977 Members. President: Rene Ramirez Secretary: Carol Sagaribay (Martinez) Parliamentarian: Sandra Hermida Vice President: Ruth Bernal (Ramirez) Treasurer: Danny Martinez Historian: Javier Garcia Sandra Hermida, introduces the first Official Fund Raiser which is the travel Coffee Mugs with the Bowie Bear “Once a Bear Always a Bear” emblem. Each member will receive five (5) mugs to sell for $15.00 each, and they will be handed out after the meeting and each member will sign for the five (5) mugs they are receiving. If the 100 mugs sell at $15.00, it will be a profit of $1,500.00. o Simon Garcia asks if they can be sold at the St. Ignacio Kermes and can ask Alex Mendez (who will have a hot dog booth) if he is interested in selling them. o Danny Martinez asks if they can be sold at the upcoming BHS Football games and Ruth Ramirez Bernal stated that it may interfere with Bowie Booster Club. o Discussions were made as to the out of town requests and how they box, bubble wrap and postage will be applied. Carol Sagaribay will get the scales from the Post Office, and it was suggested that all out of town sales be paid by Money Order “only.” Rene Ramirez discussed with the membership if they would like to continue to create a “main dish” idea by the hostess, as we have been doing in the past few meetings, and member bring side dishes to accommodate the main dish or should we just all bring a “pot luck” choice without a Menu item, or leave it up to the hostess. Members agree that “main dish” idea is fine and that the Menu continue to be posted on FB so that everyone has an idea of what items are going to be brought or are missing. Rene Ramirez opens floor for any further business or discussion. o Lola Pantoja suggests that starting next month members begin to bring their donated items to be raffled so that we can begin collecting enough door prizes for August 2017 event. Lola Pantoja also agreed to store the raffle items in her home until the event. o Simon Garcia asked if T-Shirts are donated what would be the appropriate size and it was agreed that XL is better fitted size for everyone to wear. o Alejandro Seanz demonstrated his white and blue polo shirt that was embroidered with the Bowie Bear emblem and also brought a solid white shirt and solid light blue polo shirt he purchased at Walmart for $8.00 as a possible future idea. o Maria Martinez demonstrated beautiful scarf that belonged to Margie Puente that also has the Bowie Bear emblem embroidered as a possible winter idea. o Reminder next meeting with be held at Rosa Emma Ortega’s home at 14166 Bradley Road, El Paso, Texas 79938, July 30th, 2016. o Xochitl Norte offered her home for the August 2016 location, and Annette Ferniza requested that the August meeting date be moved up by one week, and members agreed to table and discuss this item in the July Meeting. o 50/50 Raffle was held after the meeting and a total of $80.00 was collected and the winner was Javier Garcia, $40.00.
