TERMS The event is called DDR Forum & Expo 2017, and will be shortened as DDR2017 In this General Conditions, “Exhibitor” refers to all companies confirmed as exhibitors for DDR2017 as well as all their employees or agents. The term “Organizer” applies to all the team managing the event DDR2017. 2. APPLICATION All companies willing to exhibit in DDR2017 must complete and sign the “Exhibition request” and submit it to [email protected] at the earliest possible. Applications will be accepted until April 30th 2017. Applications made on this date must have attached the proof of payment of the invoice total amount. Submitting the Exhibition request means the acknowledge and acceptance of this General Conditions Once the application has been processed, the exhibitor will receive an invoice for 50% of the total amount as first payment and guarantee. The organization will confirm the application once the first payment has been received. 3. PAYMENT TERMS Early bird fees: when early-bird discount applies, the mentioned deposit (50% of the total amount) must be paid before the 31/01/2017. Otherwise, the organization will send to the exhibitor a new invoice for the updated amount, excluding the discount. Standard fees: a first 50% payment has to be made as confirmation of the exhibition option. The pending amount must be paid before April 21st 2017. Full payment in the indicated terms is a condition for access to the exhibition area. All invoiced amounts must be paid in EUR and free of all charges (e.g. bank charges occurring when transferring via bank account). 4. CANCELLATIONS AND REFUNDS All cancellations must be made in writing and addressed to the organization. Exhibitors will receive a refund of the 75% of the paid amount for cancellations made before February 1st 2017. The organization will charge a 50% of the paid amount in cancellations made between February 1st and April 7th. Cancellations after April 7TH are not refundable. 5. SUBLETING Exhibitors are not allowed to sublet the whole or any part of its own space. They are neither allowed to exhibit or advertise products or materials which are not part of their own business, or those of their subsidiaries. 6. LOCATION OF THE STAND Once the application has been confirmed, the exhibitor will be able to choose its location on the exhibition area based on the available space. The assignment will be given on first-come, first-served basis. The organization reserves the right to reallocate the stands if needed. 7. HEIGHT LIMITATION The height of the exhibition hall is 10,8 meters and the truck entrance for the hall is 4,8 meters. 8. SERVICES The organization provides the exhibitors the following services at no additional charge: • General insurance • Perimeter security guard service • General Wi-Fi service • Daily cleaning for the aisles and common areas. The organization will provide the contact of a supplier for any additional service (catering, water, parking…) 9. WASTE MANAGEMENT Exhibitors remain solely responsible for their waste management during the build-up and the break down. After the break-down, each exhibition space will be reviewed by the organization. In case any, special waste removal has to be done by the organization, the cost will be charged to the exhibitor. 10. EMPTY SPACE Companies participating in DDR2017 with an empty space option are obligated to provide carpeting and one separation system (50 m2) or two separation systems (12 and 25 m2) in order to accomplish with general event design. 11. INSURANCE Exhibitors remain solely responsible for the safety of their personnel and property, before, during and after the fair. The organization assumes no liability for any damage to people, machines or other equipment before, during or after the fair. Exhibitors should observe and meet the Brussels Expo Safety regulations. 12. FORCE MAJEURE If, for any reason beyond the control and not resulting from any act or default of the organization, it shall become impracticable to hold the Exhibition or necessary to interrupt it or close it prematurely, the organization may take such action as they consider necessary communicating it to the exhibitors as soon as possible. In those cases, exhibitors are not entitled to any compensation or to the return of any monies paid or deposited.
